About the Role
We are seeking a reliable, organised and detail-oriented Junior Office Administrator to support the company’s daily administrative, procurement and operational activities.
The successful candidate must be able to manage multiple responsibilities, work well under pressure and complete tasks accurately within the required deadlines. This position is suited to a proactive individual who communicates professionally, takes initiative and works effectively both independently and as part of a team.
Key Responsibilities
The Junior Office Administrator’s responsibilities will include:
- Performing general office administration, including filing, correspondence and document management.
- Preparing and completing tenders, requests for quotations and related supporting documentation.
- Registering and maintaining the company’s information on supplier and procurement databases.
- Assisting with procurement, supplier communication and logistics coordination.
- Preparing quotations, reports, schedules and other business documents.
- Maintaining accurate administrative, supplier and customer records.
- Managing office supplies and monitoring inventory levels.
- Assisting management with meeting coordination, scheduling and general administrative support.
- Responding professionally to customer and supplier enquiries.
- Following up on outstanding documents, quotations, deliveries and administrative matters.
- Ensuring that tasks, deadlines and set goals are consistently achieved.
- Creating social media content and assisting with the management of the company’s social media platforms.
- Supporting compliance with internal policies, procedures and client requirements.
The original position also includes procurement and logistics support, database registrations, tender and RFQ completion, stock control, management support and customer communication.
Minimum Requirements
Applicants must have:
- A Grade 12 or equivalent qualification.
- Between two and three years’ relevant office administration experience.
- Previous practical experience preparing tenders, RFQs and quotations.
- Experience with supplier database registrations and maintaining compliance documents.
- Proficiency in Microsoft Word, Excel, Outlook and PowerPoint.
- Experience using or working with business platforms such as Sage or Xero, CSD, eTender, WCSEB, Asana and Canva.
- Basic social media content creation and page-management skills.
- A valid South African driver’s licence.
- Their own reliable vehicle.
- A valid South African identity document.
- Strong written and verbal communication skills.
- Good organisational and time-management abilities.
- Strong attention to detail and a high level of accuracy.
- The ability to work under pressure and meet deadlines.
- The ability to work independently and collaborate effectively with a team.
- A professional attitude and professional appearance.

Advantageous Qualifications
The following will be beneficial but are not compulsory:
- A certificate, diploma or other qualification in office administration, business administration, procurement or a related field.
- Previous experience working with government or corporate procurement processes.
- Experience working for a supply, maintenance, logistics or procurement business.
- Experience preparing professional social media and marketing content.
