Full Job Description

Receptionist

We are seeking a professional, organised, and customer-focused Receptionist to join our team. This role is essential in creating a positive first impression for clients and visitors while providing comprehensive administrative support to ensure the smooth day-to-day operation of the office.

Key Responsibilities

Welcome clients, visitors, and guests in a friendly, professional, and courteous manner.
Answer, screen, and direct incoming telephone calls promptly and professionally.
Manage incoming and outgoing emails, courier services, and general correspondence.
Schedule appointments, meetings, and maintain office calendars.
Maintain an organised reception area and ensure a professional office environment at all times.
Perform general administrative duties, including filing, scanning, photocopying, printing, and document management.
Prepare reports, presentations, and other business documents as required.
Maintain accurate records and update company databases.
Order and monitor office supplies, stationery, and refreshments, ensuring adequate stock levels.
Assist with basic bookkeeping, invoicing, and data capturing where required.
Support management and other departments with administrative tasks and special projects.
Handle client enquiries and resolve routine issues in a professional and efficient manner.
Ensure all confidential information is handled with discretion and professionalism.

Minimum Requirements

Previous experience in a receptionist, administrative, or customer service role is advantageous but not essential, as training will be provided.
Excellent verbal and written communication skills.
Strong organizational and time management abilities with excellent attention to detail.
Professional appearance and telephone etiquette.
Ability to multitask, prioritize workload, and perform well under pressure.
Friendly, positive, and customer-service-oriented attitude.
Ability to work independently as well as part of a team.

Salary
