KEY DUTIES AND RESPONSIBILITIES
- Receive, direct and relay telephone messages and emails professionally and efficiently
- Meet, greet, and direct visitors to the relevant employees
- Welcome and coordinate international guests visiting the organisation
- Arrange meals, transportation, accommodation, evening programmes, and invitation letters for visitors and guests
- Receive, scan, and record all invoices received from walk-in vendors
- Ensure all documentation is submitted to the relevant departments timeously
- Support the Treasury team with the handover of supplier cheques and collection of official receipts
- Assist in the planning and preparation of meetings, conferences, and conference calls
- Manage office stationery and maintain adequate inventory levels
- Monitor the usage of office supplies and equipment
- Perform general clerical and receptionist duties, including filing, photocopying, and scanning
- Maintain a safe, clean, and professional reception area
- Coordinate HR events and assist with HR-related processes
- Provide general administrative support to various departments as required
Based on the Business Process Management (BPM) processes the job holder is responsible for:
S6 (Assure product conformity)
- S6.3 Responsible to comply with all Hygiene requirements in the plant.
- S6.2 Support complaint handling by reporting all identified non-conformities and support in the implementation of effective corrective actions determined by the process owner, when needed.
S10 (Ensure occupational health, safety and environment)
- Ensure that HSE compliance in own area of responsibility.
- Report any incident or unsafe conditions seen in the plant/ work area.
REQUIREMENTS
- Aged between 18 and 34.
- Must be Unemployed.
- Must not have taken part on the YES Programme before
QUALIFICATION AND EXPERIENCE REQUIREMENTS
- Grade 12 and relevant tertiary qualification.
- Excellent organisational and planning skills.
- Previous experience would be advantageous
- Must be computer literate.
- Must be fully bilingual.
- Strong verbal and written communication skills.
- Team player with the ability to build relationships.
- Must work well under pressure and be able to meet deadlines.
