Main Tasks & Responsibilities:
- Coordinate all aspects in Air, Sea and Road Freight Operations
- Requesting estimates from preapproved suppliers/agents and conducting cost analysis to determine most viable option for Air, Sea and Road Freight shipments
- Provide Estimates to internal departments where required for approval
- Plan the movement of import / export and local cargo
- Checking all cargo details and readiness with internal stakeholders
- Process administration related to the shipment and ensure documents are correct
- Creation of all shipping/transport related Purchase orders, based on approved estimated received.
- Create and share with nominated shipping agent all relevant shipping documents required i.e. Commercial Invoices, Packing lists, Clearing Instructions, Technical Data Sheets, SAD500, CNCA Certificates, EUR1, LOA’s
- Co-ordinate collection and delivery dates with third party shipping agents/transports and internal stakeholders.
- Cross-check final invoices from third party shipping agents/transporters to original estimates and flag variances to relevant internal stakeholders
- Track and trace of shipments, keeping all stakeholders updated throughout the entire process
- Handling all client queries and give advice/support
- Identify cost saving opportunities
- Assist the Procurement Management and the staff when applicable with functions outside of the job description to ensure that the branch runs effectively and efficiently according to branch requirements.
Based on the Business Process Management (BPM) processes the job holder is responsible for:
S6 (Assure product conformity)
- S6.3 Responsible to comply with all Hygiene requirements in the plant.
- S6.2 Support complaint handling by reporting all identified non-conformities and support in the implementation of effective corrective actions determined by the process owner, when needed.
S10 (Ensure occupational health, safety and environment)
- Ensure that HSE compliance in own area of responsibility.
- Report any incident or unsafe conditions seen in the plant/ work area.
REQUIREMENTS:
- Minimum Requirements: Diploma (NQF Level 4) in Shipping/International Trade
- 2 - 3 Years minimum experience in Freight Forwarding/Clearing
- Must be fluent in English
- Must be computer literate and able to work on MS Office – Main Focus on: Excel, Word, Outlook, Teams, PowerPoint
- Sound knowledge of technical shipping terms, shipping documents, standard shipping practices and relevant associated shipping costs
- Air, Sea and Road freight knowledge
- Imports and Exports knowledge, NB: VAT and Duty requirements for local and international trade
- Sound numerical and problem-solving skills
- Good time management skills
- Great Communication skills (verbal and written)
- Must have a valid driver’s license
- Ability to use own initiative in order to make beneficial decisions for the company
- Energy, drive and ambition to contribute and steer the growth of the department
- Fast and eager learner & willing to partake in further development opportunities, whether it be self-funded, or company funded
