Position: Personal Assistant / Finance & Customs Administration Coordinator

Working Hours: Monday to Thursday | 08:00 – 17:00 Friday 08:00 – 16:30
Salary: R14,000 – R16,000 per month (Negotiable depending on experience)
Probation Period :Six (6) month probation period.

Position Summary
Our client, a well-established family-owned business within the customs clearing and forwarding industry, is looking for a highly organised, proactive, and detail-oriented Personal Assistant / Finance & Customs Administration Coordinator.
This role is ideal for someone who enjoys administration, working with numbers, supporting management, and learning new systems and processes. The successful candidate will work closely with management, assisting with finance administration, customs documentation, payroll administration, and general office coordination.
Minimum Requirements
- Matric (Grade 12).
- Fully bilingual in both Afrikaans and English (spoken and written).
- 2–5 years' experience in an administrative, finance administration, personal assistant or office coordination role.
- Strong numerical aptitude and attention to detail.
- Excellent computer literacy, including Microsoft Office.
- Willingness to learn Xero Accounting and customs administration processes.
- Excellent organisational and time management skills.
- Professional communication skills in English (Afrikaans advantageous).
- Valid driver's licence and own reliable transport.
- Ability to work independently while managing multiple priorities.
Key Responsibilities
- Provide administrative and personal assistant support to management.
- Assist with finance administration and maintain accurate records.
- Process and capture information on Xero Accounting (training will be provided where required).
- Assist with payroll administration and timekeeping.
- Liaise with the Bargaining Council and assist with related administration.
- Support customs clearing and forwarding administration.
- Prepare, organise and maintain company documentation and filing systems.
- Coordinate meetings, diaries, correspondence and office administration.
- Assist with operational planning and general business support.
- Perform additional administrative duties as required.

Working Environment
This is a full-time, office-based position. The successful candidate will work closely with management in a supportive environment where accuracy, professionalism and teamwork are highly valued.
Occasional overtime may be required to meet operational requirements and will be compensated with Time Off in Lieu (TOIL) by mutual agreement.
Weekend and public holiday work is not standard practice; however, flexibility may occasionally be required due to operational demands within the shipping and customs industry.
