Full Job Description

Accounts Payable Review & Controls

Review all payment submissions prepared by Accounts Officers and Creditors Clerks prior to submission to management.

Review, validate and ensure:
o Payments are made to the correct supplier.
o VAT treatment is accurate and compliant with relevant regulations.
o General Ledger (GL) coding is correct and aligned to the nature of the expense.

Review supplier reconciliations prepared by the team, ensuring completeness, accuracy, and proper supporting documentation

Fraxion transactions are reviewed and approved accurately and timeously.

Identify and escalate discrepancies, duplicate payments, or non-compliant transactions.

Ensure all supporting documentation is complete, valid, and audit ready

Cashbook Management & Reconciliation

Review cashbook transactions to ensure:

o Only approved and verified invoices are processed.

o Transactions are accurately recorded and allocated.

o Foreign payments are processed with the correct and verified currency.

Review, validate and ensure:

o Cashbook entries are posted to the correct GL accounts.

o Bank and GL balance reconciliations are done daily, weekly and at month-end

o Unknown bank transactions are investigated and reallocated timeously.

Month-End & Financial Close Activities

Track, monitor and ensure Imprest accounts trial balances are fully cleared prior to month-end rollover.

Review and confirm that:

o National Accounts balance sheet accounts are cleared and correctly reallocated to the appropriate expense accounts.

o Corporate credit card submission journals are processed

o All corrections are processed before financial closure.

Support accurate and timely month-end reporting by enforcing strict cut-off procedures.

Processing and balancing of intercompany transactions and balance sheet accounts

Ensure all Balance Sheet accounts under responsibility are reconciled monthly, with clear supporting documentation and timely resolution of reconciling item.

Ensure that no unreconciled differences are carried forward without documented justification and action plans.

Supplier Management & Master Data Integrity

Oversee supplier onboarding and maintenance processes to ensure:

o Verified supplier information (VAT number, Banking details, contact information)

o Compliance with company policies and regulatory requirements.

o Accuracy and completeness of supplier master data.

Assist with supplier queries and resolve escalations efficiently.

Team Leadership, Coaching & Support

Provide day-to-day supervision, guidance, and coaching to Accounts Officers and Creditors Clerks.

Ensure adherence to policies, procedures, and internal controls.

Develop team capability by:

o Identifying training needs.

o Supporting performance improvement initiatives.

Drive a culture of accountability, accuracy, and continuous improvement.

Compliance, Governance & Audit Support

Ensure all processes comply with:

o Internal policies and SOPs.

o Audit requirements and financial control frameworks.

Prepare data extracts in support of internal and external audits.

Maintain clear audit trails for all transactions processed and all approval processes.

Minimum 2–5 years’ experience in Accounts Payable / Cashbook
At least 1–2 years in a supervisory or team lead role

Minimum Requirements:Education

National Diploma or Degree in Accounting, Finance, or related field
