Job description
We are a busy and dynamic service station looking for a reliable and organised Service Station Administrator to support the efficient running of our office and forecourt operations. If you are detail-oriented, comfortable with numbers, and experienced in service station administration or similar retail environments, we want to hear from you!
As our Service Station Administrator, your duties will include:
Financial and Cash Responsibilities
Perform daily cash ups and reconciliations of all sales and tills.
Prepare and balance banking records.
Verify and reconcile payment methods (cards, cash, loyalty, etc.)
Monitor petty cash and manage float issuance where required.
Stock and Supplier Management
Process Goods Received Vouchers (GRVs) and capture stock received into the system.
Assist with stock takes and regular stock reconciliations.
Maintain accurate stock records and assist with ordering and supplier accounts.
Follow up with suppliers on deliveries, invoices, and discrepancies.
Administrative Duties
Maintain general office administration including filing, correspondence, and record-keeping.
Create and manage standard office documentation, reports, and spreadsheets.
Assist with general admin tasks to support site operations and management.
Communicate with internal staff and external partners (suppliers, head office).
Systems and Computer Work
Maintain digital records and spreadsheets using MS Excel, Word, and other relevant software.
Use point-of-sale (POS) and inventory systems accurately and efficiently.
Requirements
Grade 12 (Matric) or equivalent qualification
Prior service station, retail, or administrative experience preferred
Strong basic accounting knowledge and numerical accuracy
Computer literate with MS Office (Excel, Word, Outlook)
Ability to work independently and manage time effectively
Excellent organizational, communication and problem-solving skills
Comfortable handling confidential financial information
Experience with stock management and supplier accounts
