Full Job Description

We are seeking a highly trusted and proactive Executive Personal Assistant (PA) & Operations Coordinator to support the founder and oversee the South Africa operations.

This is not a traditional administrative role — it is a high-trust executive coordination position responsible for managing communication flow, operations visibility, scheduling, opportunity filtering, and representation in meetings.

The successful candidate will act as the founder’s right hand in South Africa.

Core Purpose

This role exists to:

Manage and protect the founder’s time
Oversee operations across all South African departments
Filter and organise business opportunities
Coordinate communication between teams
Represent the founder in selected meetings and engagements
Provide executive-level insights and feedback

Key Responsibilities

1. Executive Assistance & Calendar Management

Manage daily schedule, meetings, and appointments
Book and coordinate business meetings, interviews, and calls
Organise speaking engagements and external engagements
Ensure preparation for all meetings and commitments

2. Operations Oversight (South Africa Only)

Monitor progress across all SA departments:

Business Development
Marketing & Social Media
Graphic Design
Web Development
Book Editing
Book Sales & Distribution

Provide weekly executive summaries on:

progress
delays
risks
performance updates

3. Opportunity Filtering & Intelligence

Identify and assess potential:
clients
partnerships
speaking engagements
media opportunities
Filter opportunities before presenting them to leadership
Recommend high-value engagements

4. Meeting Attendance & Representation

Attend selected meetings on behalf of the founder
Represent the founder professionally where required
Take detailed notes and provide structured feedback
Ensure alignment with founder’s direction and intent

5. Media & External Coordination

Manage inbound media requests (interviews, podcasts, press)
Coordinate speaking engagements and public appearances
Prepare briefing notes for all external engagements
Support brand visibility opportunities

6. Strategic Feedback & Reporting

Provide structured insights across departments
Identify gaps, inefficiencies, and opportunities
Support decision-making with operational intelligence

Ideal Candidate Profile

We are looking for someone who is:

Highly organised, proactive, and disciplined
Strong communicator with executive presence
Able to think across multiple business functions
Trustworthy, confidential, and reliable
Comfortable working in a fast-paced remote environment
Strong in coordination and decision support

Experience in Executive Assistance, Operations Management, or Business Coordination is highly preferred.

Key Requirements

Proven experience as PA, EA, or Operations Coordinator
Strong organisational and multitasking ability
High level of trust and confidentiality
Ability to manage multiple priorities and departments
Own laptop and reliable internet connection
Strong communication skills (written and verbal)
Ability to work remotely full-time

Work Structure

Full-time remote role
South Africa operations only
Daily availability required
Weekly executive reporting and check-ins
Immediate start required

Compensation

Monthly salary: R20,000 (fixed)
Performance and trust-based role review after 90 days

Important Note

This is a high-trust executive coordination role. The successful candidate will be responsible for managing access to leadership, coordinating operations, and ensuring smooth execution across all South African business functions.

They will NOT make final business decisions but will play a critical role in:

filtering opportunities
managing communication flow
coordinating teams
supporting executive-level operations

Pay: From R20 000,00 per month
