Full Job Description

Vacancy: Admin Team Leader - Pretoria East

Our client in the events services industry is seeking a highly organised and proactive Admin Team Leader to oversee and streamline administrative operations within business units / group, ensuring efficient office management, regulatory compliance, and professional client service. The incumbent has a pivotal role in supporting operational continuity, supervising junior staff, and maintaining high standards of documentation and internal coordination.

Key Responsibilities

· Manage daily administrative office operations, suppliers, and logistics

· Maintain filing systems, policy documentation, and client records

· Coordinate internal meetings, travel arrangements, and scheduling

· Ensure adherence to tender regulatory requirements and internal policies

· Prepare reports, audit packs, and compliance submissions

· Support risk and governance teams with document control and versioning

· Supervise junior administrators and reception staff

· Monitor performance and provide mentorship

· Handle escalated client queries and service requests

· Liaise with external service providers

· Ensure professional front-office representation and client satisfaction

· Maintain CRM and policy management systems

· Generate operational reports and assist with data analysis

· Support digital transformation and process automation initiatives

Qualifications and Technical Knowledge:

· Diploma or Degree in Office Administration, Business Management, or Insurance

· Minimum 5–8 years’ experience in administrative roles

· Strong proficiency in Microsoft Office, CRM platforms, and document management systems

· Driver's License and be able to drive (must) with the ability to work over weekends as and when required.

· Hands-on tendering/bid coordination and management experience, tender, RFQ, or bid administration work

· Accurate follow-up and verification across the team and on events projects.

Other requirements

· Preferable age: late 30's -50's.

· We need someone firm and highly accountable

· Assertive with the team,

· Strict on deadlines,

· Strong in document verification.

· Able to coordinate multiple admin projects (tenders/RFQs, events & catering, security, general projects).

· Takes ownership, delegates and holds people accountable.

· Verify all compliance documents before submission.

· Works well under pressure.

· Never takes "done" at face value without proof.

· Ideally also has a business-sourcing mindset, actively identifying tender & RFQ opportunities.
