Full Job Description

Purpose of the Job

The Branch Administrator provides essential support to logistics operations by ensuring accurate documentation, wage capturing, and compliance processes are maintained. This role is responsible for processing Proof of Delivery (PODs), capturing wages and driver hours, logging and closing collections, and assisting with transport reporting. The Administrator supports daily logistics functions such as trip sheet checks, allocation documentation, and divisional reporting, while also handling customer queries and maintaining professional office standards.

Key Responsibilities

Claims and Documentation

Assist with claims investigation by gathering and recording relevant details.
Check and control Proof of Delivery (PODs) for incoming freight.
Email PODs to clients within 48 hours (local) and 72 hours (regional).
Handle acknowledgements, printing, allocation, and pre‑briefing tasks.
Follow up with stores and drivers, including evening acknowledgements.
Issue delay references when required.
Support archive room activities, ensuring records are correctly stored and retrievable.

Wage and Attendance

Capture wages on Jarrison system.
Assist with pay queries, providing accurate information and escalating where necessary.
Check and resolve missing clock‑ins daily.
Capture hours and sleep‑outs for depot drivers.
Capture monthly hours and overtime for transport permanent employees.

Transport and Collections

Check daily trip sheets for accuracy and completeness.
Log collections on My Business system.
Send out reference numbers for collections.
Follow up with Transport department regarding outstanding collections.
Close collections daily to ensure accurate reporting.
Attend to collection queries promptly and professionally.

Logistics and Route Processing

Provide support in daily route planning for drivers, crews, and vehicles.
Assist with allocation of vehicles and crews according to operational needs.
Support weekly vehicle panic tests.
Support weekly hub panic tests.

Reporting and Analysis

Run workshop reports monthly using Edocs and retrieve Business Units requiring billing.
Run divisional reports monthly using Freightware register.

Office and Administrative Support

Maintain housekeeping standards to keep the admin office and workstation neat and tidy.
Assist with general telephone queries where possible.
Provide support with routine office tasks.
Assist with warehouse maintenance requests.
Capture stationery on One Link system.
Order operational stationery and ensure order numbers are captured and attached.
Record minutes of meetings and replicate word for word.

Compliance and Safety

Assist in enforcing health and safety standards within the department and administrative functions.
Conduct asset checks to ensure accountability.
Maintain on‑site contractor files.

Client and Relationship Support

Ensure strong working relationships are maintained between the branch and clients.
Support communication and coordination to uphold service standards.

General Operational Support

Assist in relevant operations and operational functions as required, contributing to branch efficiency.

Minimum Requirements

Grade 12
1+ years’ experience in an administrative support role within a logistics environment.
Beginner proficiency in Microsoft Office Suite (Excel, Word, Outlook)
Beginner proficiency with branch related systems (Onelink, Freightware, Jarison T&A and Wagekeep)

Skills Requirements

Strong communication skills to provide clear updates and relay information.
Solid data entry skills to capture information accurately.
Proven organisational skills to maintain filing systems and documentation.
Beginner reporting skills to prepare routine daily and weekly updates.
Customer service skills to respond to queries courteously.
Time management skills to complete tasks within required deadlines.
Beginner proficiency with branch related systems (Onelink, Freightware, Jarison T&A)
