About the Role
Zinia is looking for a highly organised, detail-oriented Administrative Operations Coordinator to support the efficient execution of operational, supplier, and sales support processes across the business.
This role is responsible for ensuring that internal workflows, supplier engagements, system records, and administrative processes are executed accurately, consistently, and in accordance with established procedures. The successful candidate will play a key role in maintaining operational efficiency, data integrity, and service delivery standards.
This position is ideal for someone who thrives in a structured environment, enjoys working with processes and systems, and takes ownership of delivering accurate and timely administrative outcomes.
Key Responsibilities
Operational Administration & Process Management
- Execute and manage operational administration processes in accordance with company procedures and service standards.
- Coordinate connectivity and service feasibility requests with suppliers, ensuring all technical, commercial, and operational information is obtained, validated, and communicated to stakeholders
- Manage supplier interactions to obtain service availability, pricing, and supporting information within required timeframes.
- Ensure all supplier and client communications are tracked and documented in internal systems.
- Monitor operational workflows and proactively follow up on outstanding actions to ensure timely completion.
- Escalate delays, exceptions, or process deviations where required.
Data & Systems Administration
- Maintain accurate and up-to-date records across CRM and operational systems.
- Capture, verify, and update client, supplier, and opportunity information.
- Ensure data quality and integrity through regular review and validation of information.
- Adhere to established documentation, filing, and record-keeping procedures.
- Generate and maintain operational reports as required.
Sales Support Administration
- Support the Sales Team through the accurate administration of opportunities, quotations, and client records.
- Coordinate the collection and preparation of information required for proposals and supporting documentation.
- Ensure all required documentation is complete and available for internal handovers and operational processing.
- Facilitate communication between Sales, Operations, and Suppliers to support seamless service delivery.
Supplier Coordination
- Build and maintain professional working relationships with suppliers.
- Ensure supplier responses are received, validated, and processed within agreed service levels.
- Track outstanding supplier requests and maintain visibility on progress.
- Ensure supplier information is accurately reflected within internal systems.
Compliance & Continuous Improvement
- Adhere to internal operational procedures, policies, and quality standards.
- Identify opportunities to improve administrative efficiency and process effectiveness.
- Support the implementation and maintenance of operational best practices.
Education
- Matric / Grade 12 (essential)
- Diploma or certificate in Business Administration, Office Administration, Operations Management, Project Administration, or a related field (advantageous)
Requirements
- 3–5 years' experience in an administrative, operations, project coordination, office management, or business support role
- Strong administrative, organisational, and process management skills.
- Excellent attention to detail and commitment to accuracy.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Strong written and verbal communication skills.
- Experience working with CRM systems, business applications, and structured workflows.
- Intermediate or advanced proficiency in Microsoft Office, particularly Excel.
- Experience coordinating suppliers, service providers, or operational stakeholders will be advantageous.
- Exposure to IT services, telecommunications, professional services, or managed services environments will be beneficial.
