Full Job Description

Position Overview

The Office Administrator supports the daily operations of the company by ensuring smooth communication, accurate record keeping, efficient order administration, stock capturing, and general office coordination. This role is ideal for someone who is organised, computer literate, and able to work efficiently in a fast-paced environment.

Key ResponsibilitiesGeneral Administration

Manage emails, phone calls, WhatsApp Business communication, and internal correspondence.
Maintain organised digital and physical filing systems.
Prepare, organise, and update company documents and records.
Assist with general office administration and daily operational tasks.

Customer & Supplier Support

Respond to customer enquiries and follow up on orders.
Communicate with suppliers regarding quotations, purchase orders, and deliveries.
Assist with preparing quotations, purchase orders (POs), delivery notes, and other administrative documents.
Coordinate with internal teams to ensure smooth workflow and timely completion of tasks.

Stock Control

Capture stock movements accurately.
Monitor stock levels and report shortages.
Assist with stock counts and inventory reconciliation.
Maintain accurate inventory records.

Systems & Administration

Work confidently with Microsoft Office, especially Excel, Outlook, and Word.
Maintain accurate electronic records and databases.
Ensure information is captured accurately and updated promptly.

Problem Solving & Team Support

Identify operational issues and suggest practical improvements.
Support team members with administrative tasks when required.
Maintain a positive, professional, and team-oriented working environment.
Be willing to learn the company's products, systems, and operational processes.

Required Skills & Experience

Strong computer literacy, including Microsoft Excel, Outlook, and Word.
Previous administration experience preferred.
Experience in stock control or inventory management is advantageous.
Excellent organisational and time management skills.
Strong written and verbal communication skills.
Ability to work independently and manage multiple tasks.
Good attention to detail and accuracy.
Experience in the building, construction, aluminium, glass, or hardware industry is advantageous but not essential.
Training will be provided for the right candidate.
A positive attitude, strong work ethic, and willingness to learn are valued more than previous industry experience.
