Full Job Description

Reports To: Branch Manager / Operations Manager

Job Purpose

The Dispatch Clerk is responsible for ensuring that all customer orders are accurately prepared, checked, loaded, and dispatched on time. The role requires maintaining accurate dispatch records, coordinating with drivers and warehouse staff, and ensuring that all deliveries leave the premises with the correct documentation.

Key ResponsibilitiesDispatch Operations

Prepare and process all dispatch documentation.
Verify customer orders against picking slips and invoices.
Ensure all goods are correctly picked, checked, packed, and loaded.
Coordinate daily dispatch schedules with drivers and management.
Ensure deliveries are dispatched on time and according to customer requirements.
Monitor and track all outgoing deliveries.

Stock Control

Verify quantities and products before dispatch.
Report any stock shortages, damages, or discrepancies immediately.
Assist with stock counts and stock take procedures.
Ensure stock movements are accurately recorded.

Documentation & Administration

Maintain accurate dispatch records and filing systems.
Ensure all dispatch notes, invoices, PODs (Proof of Delivery), and collection documents are completed and signed.
Follow company procedures for all stock leaving the premises.
Ensure no goods leave the premises without proper authorization and documentation.

Customer Service

Communicate professionally with customers regarding collections and deliveries.
Resolve dispatch-related queries promptly.
Liaise with sales staff regarding urgent orders and customer requirements.

Health & Safety

Ensure safe loading and unloading procedures are followed.
Maintain a clean and organized dispatch area.
Comply with all company health and safety regulations.

Minimum Requirements

Grade 12 (Matric).
Previous dispatch, warehouse, logistics, or stock control experience.
Computer literate (Microsoft Excel, Email, Inventory Systems).
Strong attention to detail and accuracy.
Good communication and organizational skills.
Ability to work under pressure and meet deadlines.
