Full Job Description

Position: Medical Receptionist / Front Office Administrator (full-time, permanent)
Start date: As soon as possible — ideally before 30 September 2026

About the practice
Established solo ophthalmology practice with a 13-year track record, comprehensive ophthalmology and cataract surgery focus, ~155–200 cataract surgeries annually. Discovery Health represents the majority of patient volume. You'll join two reception/admin colleagues (in role since May 2026); this appointment is intended to bring senior, steady experience into the team during a transition period.

Working hours
Monday to Friday, 08h00–16h00. Some flexibility required around theatre days. No weekends. No after-hours.

Key responsibilities

Front office

- Patient bookings, telephone management, and reception desk duties
- Coordination of consultation diaries with strict adherence to booking rules
- Theatre list scheduling and coordination for cataract bookings
- Patient correspondence, results dispatch, and referral letter preparation
- Liaison with referring doctors and allied practices
- Stock control — clinical disposables and consumables ordering, reorder tracking

Billing and accounts (full function — this is a core part of the role, not a secondary duty)

- Medical aid pre-authorisations (Discovery Health and others)
- Capture and submission of claims through Vericlaim, including procedure and consultation coding
- Query resolution and rejected-claim follow-up
- Collections and proactive follow-up on outstanding/aged patient and scheme accounts
- Patient statements and account query handling
- Bank statement allocations and reconciliation
- Supplier account management and payment coordination
- Liaison with the practice's accountants on payroll and financial administration matters as needed

Essential requirements

- Minimum 3–5 years' experience in a specialist medical practice reception and accounts/billing role (any specialty — cardiology, orthopaedics, gynaecology, dermatology, ENT, surgical, etc. all welcome; ophthalmology is not required)
- Working knowledge of a medical billing/practice management system (Vericlaim, GoodX, Elixir, Solumed, or similar), including claims submission and collections follow-up — not just front-desk booking
- Strong working familiarity with medical scheme processes — pre-authorisations, PMB claims, rejections — particularly Discovery Health
- Demonstrated experience owning the full billing/accounts cycle, not only data capture
- Comfortable coordinating with a hospital/theatre facility for surgical bookings
- Computer literacy (Microsoft Office, email, calendar)
- Excellent telephone manner and professional written communication
- Demonstrated ability to work independently and take ownership of front-office and accounts operations with minimal supervision
- Own reliable transport

Advantageous (not required)

- Experience in an ophthalmology or other surgical specialist practice
- ICD-10 coding familiarity
- Experience with a medical aid sustainability/managed-care contract
- Prior experience training or mentoring junior reception staff

Personal attributes

Reliable, organised, calm under pressure, professional manner, strong attention to detail, comfortable holding standing decision-making authority when the doctor is unavailable, willing to work within written practice protocols.

Starting Remuneration

R19,000–R29,000 per month CTC, depending on experience, with room for growth based on value provided.
