Full Job Description

Purpose of the Position

The WIL Officer is responsible for the coordination, implementation, and monitoring of Work Integrated Learning (WIL) programmes, ensuring that learners are successfully placed, supported, and assessed in workplace environments. The role ensures compliance with SETA/QCTO requirements and facilitates strong relationships between learners, host employers, and the organisation.

Key Responsibilities

Work Integrated Learning Coordination

Coordinate end-to-end WIL processes including learner placement, onboarding, and tracking.
Match learners to appropriate host employers based on programme requirements.
Maintain accurate and updated WIL placement records and databases.
Ensure timely placement of learners within approved workplace sites.

Employer Engagement and Management

Liaise with host employers to secure and maintain WIL placement opportunities.
Support employer onboarding, agreements, and compliance documentation.
Maintain strong relationships with workplace supervisors and mentors.
Resolve workplace placement issues and escalate complex cases.

Learner Support and Monitoring

Provide guidance to learners regarding workplace expectations and WIL requirements.
Monitor learner attendance, performance, and workplace conduct.
Identify at-risk learners and implement support interventions.
Maintain regular communication with learners during placement.

Documentation and Compliance

Ensure all WIL documentation (contracts, agreements, logbooks, PoE) is completed and filed correctly.
Maintain audit-ready learner and employer files.
Ensure compliance with SETA/QCTO WIL requirements and programme standards.
Support internal and external audits and verification processes.

Assessment and Reporting Support

Coordinate submission of workplace assessments, logbooks, and evidence portfolios.
Track learner progress towards WIL completion requirements.
Prepare WIL progress and completion reports for management.
Support assessors and moderators with workplace-related documentation.

Data Management and Administration

Maintain accurate records of learner placements, progress, and completion status.
Update WIL tracking systems and dashboards regularly.
Ensure data integrity across all WIL-related systems.
Assist with general administrative duties within the WIL department.

Stakeholder Coordination

Liaise between learners, employers, facilitators, and internal departments.
Ensure clear communication of WIL requirements and timelines.
Coordinate scheduling of workplace visits and monitoring activities.
Support collaboration between academic and workplace environments.

Minimum Requirements

Qualifications

Red Seal or related field.
ETDP SETA qualifications or assessor training will be advantageous.

Experience

3–5 years’ experience in Work Integrated Learning, skills development, or training administration.
Experience working with SETA/QCTO-accredited programmes.
Exposure to workplace-based learning environments and employer liaison.
Experience in learner tracking systems advantageous.

Knowledge

Work Integrated Learning (WIL) frameworks and processes.
SETA/QCTO compliance requirements.
Workplace-based assessment and portfolio of evidence (PoE) processes.
Learner placement and employer engagement practices.
Data management and reporting systems.
