Role Overview :
We are seeking an Operations & Administration Assistant to oversee our daily business functions and ensure our systems run with precision. This role is essential for maintaining the smooth operation of our financial, e-commerce, and administrative systems. The ideal candidate must be a proactive professional who is well-spoken and excels at professional communication. You will be responsible for managing high-volume email traffic, ensuring you "stay on top" of all correspondence, and providing clear, consistent updates to the team throughout the day to ensure everyone remains aligned on task status and operational priorities. You will act as the central point of contact for our daily business activities, requiring a high level of organizational skill and the ability to streamline workflows.
Core Responsibilities
Financial & Payment Management
- Payment Processing: Manage the loading of payments via the Netcash gateway.
- Account Oversight: Actively "stay on top of accounts" and financial records to ensure accuracy at all times.
- Rental & General Administration: Handle all matters related to rent and other general administrative duties as they arise.
E-commerce & Operations
- Store Management: Execute daily price alterations to keep our online store current and competitive.
- Reporting: Manage data and reporting across our platforms, specifically utilizing Sage and Takealot.
- Workflow Optimization: Identify areas to streamline processes to ensure the business operates with maximum efficiency.
Communication & Email Management
- Email Correspondence: Manage high volume email traffic, including sending bulk emails for payment notifications, managing the "Sales at Outsol" inbox, and distributing pay slips.
- Proactive Updates: Provide regular, detailed updates via email throughout the business day to ensure team visibility on all tasks.
- Professional Communication: Maintain a high standard of communication in all internal and external interactions.
Required Capabilities
- Technical Proficiency: Demonstrated ability to work with Sage and Takealot for reporting and store management.
- Financial Administration: Competence in loading payments through gateways like Netcash.
- Email Management: Exceptional skill in managing email workflows, ensuring no communication or payment notification is missed.
- Reliability: A natural ability to "stay on top of things," ensuring accounts and daily tasks are managed without needing to be reminded.
- Adaptability: Ability to handle a variety of "side tasks" and general office responsibilities as they arise.
