Full Job Description

The Debt Review Administrator is responsible for providing administrative support throughout the debt review process, ensuring that client files are accurately maintained, creditors are communicated with effectively, and all regulatory requirements are adhered to in accordance with the guidelines of the National Credit Regulator (NCR).

Key Responsibilities

Client Administration

Capture and maintain accurate client information on internal systems.
Open and manage debt review files from application through to completion.
Ensure all required client documentation is obtained and filed.
Update client records and maintain accurate notes on all interactions.

Debt Review Process Administration

Prepare and submit debt review applications.
Issue and monitor statutory notices and documentation.
Track proposal responses from credit providers.
Assist with drafting repayment proposals and restructuring plans.
Update client statuses on relevant debt review systems.
Ensure all debt review processes are completed within prescribed timeframes.

Creditor Liaison

Communicate with credit providers regarding account balances, proposals, and account statuses.
Request and obtain certificates of balance and supporting documentation.
Follow up on outstanding responses and proposals.
Resolve account queries and disputes where required.

Payment Distribution Administration

Monitor payment distribution schedules.
Reconcile payments and investigate discrepancies.
Follow up on missed or failed payments.
Liaise with Payment Distribution Agencies (PDAs) regarding payment-related queries.

Compliance and Quality Assurance

Ensure compliance with NCR regulations and company policies.
Maintain confidentiality of client information.
Ensure all files are audit-ready and contain the required documentation.
Assist with internal and external compliance reviews.

Reporting

Prepare daily, weekly, and monthly reports as required.
Monitor workflow queues and ensure tasks are completed within service level agreements.
Escalate complex matters to the Debt Counsellor or Team Leader.

Minimum Requirements

Grade 12 (Matric).
Previous experience in debt review administration.
Knowledge of the National Credit Act and debt review process.
Computer literacy, including Microsoft Office Suite.
Experience working on debt review systems such as Finwise or similar platforms.

Skills and Competencies

Strong administrative and organizational skills.
Excellent verbal and written communication.
Attention to detail and accuracy.
Ability to work under pressure and meet deadlines.
Problem-solving and analytical skills.
Professional telephone etiquette.
Ability to work independently and as part of a team.

Performance Indicators

Accuracy of client file administration.
Compliance with NCR requirements.
Turnaround times on tasks and creditor communication.
Quality and completeness of client records.
Achievement of departmental productivity targets.
