Import and Logistics Coordinator

Position Summary

We are a leading importer of promotional products and apparel. We are seeking an experienced Logistics Coordinator to manage the end-to-end import process, ensuring the timely, compliant, and cost-effective movement of goods from suppliers to our warehouse.

The successful candidate will be responsible for coordinating international shipments, managing shipping documentation, liaising with freight forwarders and clearing agents, tracking shipments, coordinating local transportation, and supporting inventory planning to ensure optimal stock availability.

Key Responsibilities

Import & Shipping Management

Coordinate all import shipments from suppliers to final warehouse delivery.
Track and monitor shipments from order placement through to arrival.
Liaise with suppliers, freight forwarders, shipping lines, clearing agents, and transport providers.
Ensure shipments meet required delivery timelines.
Manage shipment schedules and container planning.
Monitor freight costs and identify opportunities for savings.

Documentation & Compliance

Prepare and verify all shipping documentation including:
Commercial Invoices
Packing Lists
Bills of Lading
Certificates of Origin
Import permits and supporting documentation where required
Ensure all documentation is accurate and submitted on time.
Work closely with customs clearing agents to facilitate smooth clearance.
Maintain accurate records of all import transactions.

Freight & Transportation Coordination

Coordinate transport from ports to warehouse.
Arrange container collections and deliveries.
Monitor transportation costs and delivery performance.
Resolve any transport-related issues or delays.

Inventory & Planning Support

Work closely with procurement and operations teams to ensure stock availability.
Monitor incoming shipments against stock requirements.
Assist with forecasting shipment arrivals and inventory planning.
Update internal systems with shipment and delivery information.

Supplier & Service Provider Management

Build strong relationships with suppliers, freight forwarders, clearing agents, and transport providers.
Monitor service levels and address performance issues.
Obtain and compare freight quotations when required.

Reporting & Administration

Maintain shipment tracking reports and delivery schedules.
Produce regular reports on shipment status, delays, freight costs, and container movements.
Ensure all logistics records are accurately maintained and easily accessible.

Minimum Requirements

Qualifications

Relevant qualification in Logistics, Supply Chain, Shipping, Imports & Exports, or related field preferred.

Experience

Minimum 3-5 years' experience in import logistics or supply chain coordination.
Proven experience managing international shipments and import documentation.
Experience working with freight forwarders, clearing agents, and transport providers.
Experience in a high-volume importing environment advantageous.

Knowledge & Skills

Strong understanding of:
International shipping procedures
Customs and import processes
Incoterms
Freight forwarding and transportation management
Shipping documentation requirements
Excellent administrative and organisational skills.
Strong attention to detail and accuracy.
Proficient in Microsoft Excel and ERP/business systems.
Ability to manage multiple shipments and deadlines simultaneously.
Strong communication and relationship management skills.
Problem-solving mindset with the ability to work under pressure.
