Role Purpose
The GPMO Manager plays a pivotal role in driving the successful delivery, governance, and continuous improvement of business-critical initiatives across the organisation, operating within the 4D delivery framework and supported by 4D SmartAlign.
This role is responsible for embedding consistent, outcome-focused project management practices, ensuring initiatives are aligned to strategic priorities, and enabling transparency, control, and value realisation across the project portfolio. The role combines leadership, governance, and stakeholder engagement, with a strong emphasis on practical delivery ensure value is delivered for every project.
Key Responsibilities
1. GPMO Leadership, Governance & 4D Framework
Own and manage day-to-day GPMO operations in alignment with the 4D delivery framework
Ensure consistent application of 4D phases, stage gates, and artefacts across all in-scope initiatives
Champion the use of Smartsheet as the system of record for project delivery, planning, and reporting
Ensure projects are correctly initiated, governed, and transitioned through the 4D lifecycle
Act as a point of escalation for delivery risks, dependencies, and governance exceptions
2. Portfolio Management, Planning & Reporting
Support enterprise demand management, intake, and prioritisation using 4D principles
Ensure project plans, milestones, dependencies, and benefits are accurately maintained within Smartsheet
Provide consolidated portfolio reporting to senior leadership and Board-level forums
Monitor delivery performance, adherence to 4D governance, and portfolio health indicators
Support strategic alignment of initiatives to business objectives and investment priorities
3. Stakeholder Engagement & Business Partnership
Build strong relationships with executive sponsors, senior leaders, and delivery teams
Support sponsors and project leads in understanding and applying the 4D framework effectively
Provide clear, proactive communication on project status, risks, and outcomes
Ensure business stakeholders understand expectations, roles, and responsibilities within the 4D model
Support business cases, investment governance, and prioritisation decisions
4. Continuous Improvement & Capability Development
Drive continuous improvement of the 4D framework and Smartsheet usage based on feedback and outcomes
Identify opportunities to streamline governance while maintaining appropriate controls
Promote best practices, standards, and consistency across the global PM community
Support training, onboarding, and adoption of 4D and Smartsheet across the organisation
Act as a change agent for improved delivery maturity
5. People Leadership & PM Community Enablement
Line manage Project Managers and/or PMO resources
Run recruitment, onboarding, and development of PM talent aligned to 4D capability expectations
Coach and mentor PMs in effective application of the framework, stakeholder management, and delivery discipline
Foster a collaborative, high-performing PM community with a shared delivery mindset
6. General Responsibilities
Contribute to internal transformation and enterprise-wide initiatives
Support project responses, strategic initiatives, and cross-functional programmes as required
Perform other duties as reasonably required by leadership
Key Skills and Experience
8+ years’ experience in project, programme, PMO, or portfolio delivery environments, including at least 3–5 years in a PMO/GPMO leadership, portfolio governance, or project delivery management role
Proven experience in PMO or GPMO leadership roles
Strong understanding of enterprise delivery frameworks and governance models
Hands-on experience with portfolio management tools and delivery platforms (e.g. Smartsheet or equivalent)
Excellent stakeholder management and communication skills
Ability to operate effectively at both strategic and delivery levels
Pragmatic, outcome-focused mindset with strong attention to detail
Comfortable leading change and driving adoption of new ways of working
Qualifications
PRINCE2 Practitioner (or equivalent)
PMP, CAPM, or comparable qualification desirable
