Full Job Description

Foster a close working relationship with other teams. Collaborate with the respective Project Engineers and the Project and Construction Management Team with a view to improve the integration of the Document management System.

Be responsible for the management of all controlled project documents during project structuring and execution phases. Responsible for following up on progress, approval, review of Workflows due dates of documents on Master Document List and Supplier Master Document Lists. Manage the final delivery of documentation to the SPV.
Champion and facilitate document control and record management within the Team through quality check of correspondence Log, maintaining Project Email, reviewing external documents and handling incoming and outgoing transmittals.

Assist in the conducting of due diligence reviews and coordinate between the various Contractors and Red Rocket on document submission. Continue to nurture a culture of system conformance to ensure ongoing compliance to Red Rocket and project shareholder and lender obligations.

To affect this, travel to potential and active project sites in South Africa and Africa more broadly may be required from time to time. The frequency of monitoring may vary based on company and/or project requirements.

Responsibilities:

Projects Documents control and administration of the Red Rocket Engineering System by making use of our intranet and SharePoint platform.
Manage externally shared Data Rooms
Follow up progress and deliverables on the technical documentation packages
Prepare and update Document Control files and systems in a timely manner
Identify opportunities for improvement to enhance efficiency and continually improve on the engineering document control process. Assist in the drafting of new procedures and revising existing procedures.
Assisting with project internal audits, site due diligence and general assurance, including site visits across South Africa, and Africa more broadly, to ensure ongoing compliance to the Red Rocket Management System.
Development and maintenance of engineering and project record registers.
Training and coaching of colleagues on system requirements and benefits.
All of the above shall be in consultation with, Lead Project Engineer and/or the IMS Manager

Minimum Educational Qualifications:

BA in Business Administration or similar qualification is preferred

Minimum Previous Experience:

At least two (2) years of experience in Project documents control, management system and/or process development and implementation
Proven experience working with, the life cycle of all documents on a project from start to finish and/or architectural structure of the Document Management System Software (DMS) flow process
Experience in the renewable energy or construction sectors preferred
Experience in EPC/Operation project documents control

Other Skills:

Quality management
Systems thinking and process documentation
Auditing and report writing
Administration and attention to detail
Ability to train the stakeholders on document management system, processes and procedure
Demonstrate understanding in document mapping between Procedures and Project needs
Microsoft office suite (Word, Excel & Power Point), and a generally high degree of computer literacy
Proficiency in Adobe

Languages:

English (read, write & speak).
