Role Purpose

To provide a professional, accurate and customer-focused first point of contact for all telephonic enquiries received by Admed.

The Client Care Advisor is responsible for delivering exceptional customer service by resolving member, employer, broker and healthcare provider enquiries across multiple products, while ensuring service levels, quality standards and Treating Customers Fairly (TCF) principles are consistently achieved.

The role also provides operational support to mailbox administration and other business areas as required.

Requirements

Formal Education

Matric

Technical/Legal Certification

At a minimum, a certificate in customer servicing training or call centre skills AND administration skills.

Computer literate - basic computer skills knowledge and experience, specifically in MS Office.

Experience

Minimum 2-year inbound call centre experience.

Minimum 1-year administration experience.

Previous gap cover or medical scheme servicing or administration experience would be advantageous.

Duties & Responsibilities

Call Centre Operations

Answer inbound calls professionally, courteously and within agreed service level agreements.

Manage high call volumes while maintaining exceptional customer service and professionalism.

Accurately authenticate callers before discussing confidential information.

Record all customer interactions accurately on the administration system.

Handle telephonic membership, premium, benefit and claims enquiries by accessing the Admed administration system.

Resolve first-call enquiries wherever possible.

Route queries requiring specialist knowledge or authorisation to the appropriate operational team, ensuring timely resolution.

Take and distribute messages promptly when required.

Conduct outbound calls as required to support customers and operational requirements.

Customer Service

Act as the first point of contact for members, employers, brokers, healthcare providers and business partners.

Deliver a consistently professional, friendly and customer-focused service experience.

Ensure a high standard of customer service when interacting with members, employers, intermediaries, binder holders and colleagues.

Build positive relationships with internal and external stakeholders while maintaining professionalism.

Effectively manage complaints and difficult or irate customers with empathy, professionalism and sound judgement.

Manage customer expectations through clear, accurate and timely communication.

Accurately identify customer needs and provide appropriate product-specific guidance based on the customer's policy and circumstances.

Demonstrate sound judgement when determining whether enquiries can be resolved at first contact or require escalation to specialist teams.

Product Knowledge

Develop and maintain comprehensive knowledge of all Admed products, benefits, policy provisions, rules and underwriting requirements.

Accurately explain product benefits, exclusions, waiting periods, claims processes and policy administration.

Remain up to date with product enhancements, procedural changes and legislative requirements.

Apply product knowledge consistently to ensure customers receive accurate and appropriate information.

Administration and Operational Support

Capture and maintain accurate customer information on the administration system.

Support the Mailbox Coordination team by processing inbound emails during periods of high email volumes or reduced call volumes.

Assist with general and reasonable ad hoc administration requests across the Admed Division.

Maintain accurate records in accordance with company procedures and audit requirements.

Quality, Compliance and Service Delivery

Deliver services in accordance with company policies, procedures and operational standards.

Ensure compliance with regulatory requirements, confidentiality obligations and information security standards.

Achieve agreed service level agreements, quality standards and productivity targets.

Deliver the principles of Treating Customers Fairly (TCF) across all functions, with a specific focus on achieving TCF Outcome 6 by ensuring customers do not face unreasonable post-sale barriers when submitting claims, making enquiries or lodging complaints.
