We are looking for a highly organised, proactive and detail-oriented Travel Consultant Support Coordinator to join our small, owner-run travel company.
This is a varied and hands-on role providing essential administrative and operational support to our Travel Consultants. You will be an important part of the team behind the scenes, helping ensure that every booking is accurate, organised and ready for our clients’ travels.
The Role:
Working closely with our Travel Consultants, you will provide the administrative backbone for our individual leisure bookings throughout Southern and Eastern Africa.
Your day-to-day responsibilities will be varied and will include, but are not limited to:
- Making and managing bookings with hotels, lodges, car rental companies, transfer companies, airlines, restaurants and other travel suppliers
- Following up on bookings, confirmations, special requests and outstanding information
- Assisting with costings and quotations
- Preparing and formatting professional PowerPoint presentations, proposals and itineraries
- Maintaining and updating supplier rates, contracts and other travel-related information
- Updating reconciliations and assisting with the financial administration of bookings
- Carrying out detailed pre-travel checks to ensure all arrangements, dates, rates and services are correct before clients travel
- Preparing vouchers, itineraries and final travel documentation
- Checking booking details and documentation carefully for accuracy and completeness
- Filing and maintaining organised booking and supplier records
- Assisting with merchandising and general office administration
- Liaising with suppliers and maintaining professional working relationships
- Providing reliable day-to-day administrative and operational support to all Travel Consultants
- Helping the team meet deadlines during busy periods and assisting wherever additional support is required
Who We’re Looking For:
This role is ideal for someone who genuinely enjoys organisation, accuracy and getting things done. You should be comfortable managing multiple tasks and small details simultaneously and take pride in making sure nothing falls through the cracks.
You should have:
- Previous administrative experience within a travel company
- An excellent command of English at mother-tongue level, both written and spoken
- Strong organisational and time-management skills
- Exceptional attention to detail and a structured approach to your work
- The ability to prioritise tasks and manage multiple deadlines
- Confidence working independently and taking ownership of your responsibilities
- Good Microsoft Office skills, particularly PowerPoint, Excel and Word
- A professional and friendly communication style when dealing with suppliers and colleagues
- The ability to remain calm and accurate during busy periods
- A flexible, hands-on attitude and a genuine willingness to support the wider team
- A South African work permit
- A driver’s licence and own transport
- German would be an advantage
- Knowledge of Southern and Eastern African travel products and destinations would be a strong advantage
You do not need to be a Travel Consultant yourself, but previous experience working within a travel company is essential. An understanding of how travel bookings, suppliers, rates and documentation work will be important for this position.
What We Offer:
This is a permanent, office-based position, Monday to Friday, within a small, owner-run company with high standards and a flat hierarchy.
We offer:
- A choice of 30, 35 or 40 hours per week, worked over five days
- CTC of approximately R35,000–R40,000 per month, depending on experience and agreed working hours
- A performance-based 13th salary
