We are looking for a highly organised and hands-on Office Administration Manager to oversee the day-to-day administrative and operational support functions of our Johannesburg office.

The successful candidate will play a key role in coordinating the technical service team, supporting customer service operations, managing fleet and office requirements, and ensuring that service calls, stock, reporting and administrative processes are handled accurately and efficiently.

This position is suited to someone who is proactive, comfortable managing multiple priorities and able to follow up consistently to ensure that tasks are completed.

Key ResponsibilitiesService Support & Technician Coordination

Allocate technicians to service calls and coordinate daily work schedules.
Follow up on outstanding service calls to ensure they are completed and closed promptly.
Ensure service-related information is captured accurately and timeously on SAP.
Manage and escalate recurring service issues where required.
Identify technician performance or training concerns and report these to the relevant management team.
Coordinate the replenishment of spare parts.
Prepare and submit monthly management reports on service activity and operational concerns.
Participate in regular operational meetings with relevant management teams.

Customer Service & Management Support

Provide administrative and operational support to the Customer Service Manager.
Assist with the coordination and monitoring of service staff attendance and movement.
Maintain accurate records and provide relevant operational information to management when required.

Fleet Management

Plan efficient vehicle routes to support effective fuel consumption and operational efficiency.
Ensure driver inspection forms are completed and maintained.
Coordinate vehicle maintenance requirements and monitor fleet-related issues.

Stock Management

Manage and monitor stock held at the Johannesburg premises.
Ensure stock movements and replenishment requirements are properly controlled and recorded.

Office Administration & Facilities

Oversee the general administration and day-to-day functioning of the office.
Coordinate office maintenance requirements.
Ensure essential services, including electricity and water, are operational and address any issues when required.
Manage office petty cash and maintain accurate supporting records.

Requirements

Previous experience in office administration, service coordination or operational support.
Experience supervising or coordinating employees or field technicians would be advantageous.
Strong organisational and follow-up skills.
Ability to manage multiple tasks and priorities in a busy environment.
Good administrative and reporting skills.
High attention to detail and accuracy.
Strong communication and problem-solving abilities.
Experience working on SAP or a similar ERP system would be advantageous.
Comfortable working with different departments and levels of management.

Pay: Up to R22 000,00 per month
