As we continue to scale, we are building a highly organised remote operations function to ensure deals progress efficiently, communication is seamless, and no detail is missed.
About the Role
We are seeking a highly organised and proactive Operations Assistant to support the day-to-day running of our property investment and development business.
This is a central coordination role, responsible for keeping property transactions, acquisitions, sales progression, and operational workflows moving smoothly. You will work closely with the Property Acquisition Director and act as a key point of coordination between internal systems and external professionals.
The role combines property deal coordination, transaction management, executive support, and operational administration. It is ideal for someone who thrives in structured environments, enjoys following up with professionals, and takes ownership of keeping multiple moving parts on track.
Key Responsibilities
Property Acquisitions & Deal Sourcing
- Shortlist property deals based on defined acquisition criteria.
- Analyse opportunities and maintain sourcing records and deal trackers.
- Liaise with estate agents to gather information and submit enquiries or offers.
- Maintain structured records of all active and potential deals.
- Support the Director in identifying and progressing viable opportunities.
Transactions & Sales Progression
- Manage transaction checklists for all accepted offers from instruction to completion.
- Coordinate with solicitors, brokers, lenders, surveyors, and estate agents.
- Chase outstanding documents, updates, and key milestones.
- Track progress through exchange and completion.
- Identify delays, risks, or bottlenecks early and escalate appropriately.
- Maintain accurate and up-to-date transaction records and trackers.
Executive & Inbox Support
- Manage and organise the Property Acquisition Director’s inbox.
- Filter, prioritise, and respond to professional communications where appropriate.
- Act as a first point of contact for external stakeholders.
- Schedule calls, meetings, and follow-ups with key contacts.
- Ensure urgent actions are identified and progressed promptly.
Investor & Partner Coordination
- Support onboarding of JV partners and investors.
- Assist in preparing investor updates on project progress and milestones.
- Maintain accurate records of investor communications and agreements.
- Ensure transparency and professionalism in all investor interactions.
Operations & Administration
- Maintain structured digital folders for all projects and transactions.
- Track invoices, receipts, and key financial documents.
- Update spreadsheets, CRMs, and operational trackers.
- Prepare weekly progress reports and action lists for review.
- Ensure systems, processes, and documentation remain organised and up to date.
Systems & Process Improvement
- Support the development and refinement of SOPs across the business.
- Identify inefficiencies and suggest improvements to workflows.
- Help implement tools, templates, and systems to improve operational efficiency.
- Contribute ideas to improve deal flow, communication, and tracking systems.
