KZN's largest Vodacom Retail Franchisee (EST 1996) and GROWING is looking for a Dynamic HR administration with exceptional people skills to support their Human Resources department at their head offices situated in Montclair. You will act as the first point of contact for all HR- related queries for all staff.
Your main administrative duties are managing all staff (Ops managers, Maids, Retail staff, Guards, Stock controllers ,Time management, claims, car tracking, equipment , group uniforms and telephone management. The ideal candidate must have experience with HR procedures and can juggle various administrative tasks in a timely manner.
Ultimately, you should be able to ensure our HR department supports our employees while conforming to labor laws.
Responsibilities:
Organize and maintain personnel records for all retail and field staff
Update internal databases (e.g. leave, late coming, uniforms, punctuality, registers etc)
Ensure on onboarding checks are done before on boarding
Prepare HR documents, like employment contracts, Inductions packs and other onboarding documents
Ensure compliance and audit to all new recruits
Plan monthly polygraphs
Assist with Induction of new staff , trainees parking arrangements .
Assist with staff travel arrangements , fuel allowanace
Manage and maintain Group Uniforms, badges with vendors and line managers
Manage all field staff equipment
Revise, maintain and implement new company policies
Liaise with external partners, Time/Telephone management, IT insurance vendors when needed
Manage all car tracking and mileage logs
Create regular reports and presentations on HR metrics for all staff( e.g. late coming, punctuality reports , telephone usage , track tech , probations etc)
Answer all employees HR related issues
Assist payroll person by providing relevant employee information (e.g. leave, absence, overtime, deductions, loans etc) for staff
Manage all staff sign on documents and explaining
Assist with monthly Appraisals, print certificates, and stats for management on all staff
Manage group Staff messages (e.g. birthdays, religious holidays, Anniversary, performance stats etc)
Assist and manage HR meetings e.g., probations reviews, compliance
Manage group all staff time management daily
Ensure opening morning pics sent daily for stores and cleaners
Manage and auditing of Group telephone management systems daily to prevent abuse and under usage. This includes training on pabx and maintain user codes.
General Training on equipment for head office and retail staff (copier, health and safety). this includes usage reports.
Ensuring all Staff update their relevant whatsapp groups daily with reporting to line management for non compliance
Creating access on Various systems for all new Staff and deleting on exit timelessly
Archiving of completed Termination packs
Arranging labor relations issues (disciplinary enquiries, hearings, grievances etc)
Manage staff rosters weekly and monthly
Ensure we build robust HR department and maintain good human relationships.
Manage benefits (medical aid- RA )
Requirements:
Proven work experience as HR Administrator and recruitment or relevant role as per above so that can improve and Implement strong HR systems and processes
Experience with HR software (Eg: Sage ESS, Track Tech time management system, ITC etc )
Computer literacy (Advanced Excel, Power point, Out look etc )
Tech savvy and ability to learn Time management software easily
Thorough knowledge of labour laws
Excellent organizational skills, with an ability to prioritize important projects
Strong phone, email and in personal communication skills
BS in Human resources or relevant field
Teamwork skills
Excellent verbal and written communications skills
Ability to learn and have understanding of the differences between various roles within Organization
Honest and Trustworthy and willing to go the extra mile
Experience in retail time management and rostering
Tenacious/ persistent personality
Details:
Monday to Friday 7am to 4.45pm - Saturdays 7.30- 1.30pm - Must be flexible for the first six months due to training.
Basic salary with RA of 10% of salary after 1 year service
Must have own Transport
Salary negotiable based on experience
