Travel Requirements: Travel frequently, to Lesotho, Zambia, Rwanda, DRC, Dubai

Position Type: Permanent

Reporting to: CEO

Reporting into: all staff below the CEO

Salary: Open

PURPOSE:

Ideal candidate will be, an intelligent go getter, that is goal and career orientated, that doesn’t have kids (Due to the amount of work traveling that would be required) - And available immediately, (if possible), that is able to assist the CEO, with the day to day running of his personal life and all aspect of business.

KEY RESPONSIBILITIES:

- Manages the diary of the CEO.

- Travel with the CEO – sometimes on short notice

- Manages the content of emails and follows up on urgent emails to ensure they are actioned accordingly by the CEO.

- Screens telephone calls and takes messages.

- Screens text messages and respond if and where necessary.

- Schedules meetings

- Follows up on meetings / appointments with internal and external stakeholders.

- Prepares the necessary documentation for scheduled meetings (e.g. maps, directions and parking arrangements).

- Directs messages to the correct role players in a professional manner

- Welcomes CEO’s visitors on arrival

- Coordinates / prepares refreshments for CEO’s visitors.

- Arranges flights, accommodation and car hire for employees in the business

- Prepares travel requisitions.

- Quality checks all documents going out of the Office of the CEO.

- Acting as liaison between external stakeholders

- Prepares the corporate calendar.

- Responds to basic queries from external stakeholders on behalf of the CEO.

- Takes minutes at CEO’s meetings and distributes to the relevant role players.

- Types up business letters, memorandums and general correspondence both internally and externally.

- Ensures effective and efficient administrative processes are in place

- Facilitates the coordination of internal events for the business

- Ensures all documentation for events are authorised.

- Assists with other administrative duties as and when required

REQUIREMENTS AND COMPETENCIES:

- Advanced Certificate in Secretarial / Administration (NQF 5)

- Qualification at NQF 6 in Office Management will be an added advantage

- Three (3) years’ experience in a Secretarial Role for a Senior Manager

- Mathematically minded

- Knowledge of basic accounting

- Typing and MS Office Suite proficiency

- Business English (additional languages like French or Portuguese will be advantages)

- Communication and interpersonal relations

- Keeping Minutes
