Job Advert Summary

Join Woolworths as a SMME Development Administrative Assistant:

To provide administrative and coordination support to the SMME Development team by maintaining accurate records, assisting with SMME databases and research, coordinating documentation and meetings, supporting the EIJI Helpdesk, and assisting with the monitoring and reporting of SMME development projects.

Minimum Requirements

Relevant diploma or degree in Finance, Business Administration or a related field.
0–2 years administrative or professional experience.
Internship, graduate programme or relevant practical experience would be advantageous.
Strong Analytical ability
Basic understanding of SMMEs and the South African business environment.
Good administrative and organisational skills.
Proficiency in Microsoft Office, particularly Excel, Word and PowerPoint.
Good written and verbal communication skills.
Ability to work with databases and maintain accurate records.

Duties and Responsibilities

Administration of SMME Development Office

Maintain organised electronic and physical records for SMME development activities.
Capture, update and maintain SMME records and relevant databases.
File project documentation, agreements, reports and compliance information.
Assist with maintaining a central repository of SMME and project information.
Ensure documentation is complete, accurate and easily accessible.
Assist with preparing administrative packs, reports, presentations and correspondence.
Schedule meetings and assist with meeting arrangements and minutes where required.
Follow up on outstanding documentation and information.

SMME Research and Database Support

Conduct basic research on potential and existing SMME development growth enterprises.
Assist with identifying SMMEs that may be suitable for development opportunities.
Gather and capture information on SMMEs, including business activities, sectors and development needs.
Assist with maintaining and cleaning the SMME database.
Assist with compiling information for shortlists and internal assessments.

EIJI Helpdesk Support

Assist with the administration of the EIJI Helpdesk.
Respond to basic enquiries and direct queries to the appropriate team member.
Record and track enquiries and ensure that they are followed up appropriately.
Maintain accurate records of Helpdesk interactions and outcomes.
Provide professional and courteous communication to SMMEs and other stakeholders.

SMME Assessment and Onboarding Support

Assist with coordinating the administrative aspects of SMME assessments.
Communicate with SMME representatives regarding required documentation and information.
Assist in preparing assessment documentation and packs.
Track outstanding information required from SMMEs.
Assist with the onboarding process for selected SMMEs.
Maintain accurate records of assessment and onboarding progress.
Escalate issues or incomplete information to the relevant manager.

SMME Development Project Support

Provide administrative support to SMME development projects.
Assist with coordinating meetings and engagements with SMME leadership and management teams.
Maintain project schedules, action lists and progress trackers.
Track project deliverables and follow up on outstanding actions.
Assist with preparing project progress reports.
Maintain records of project activities, milestones and outcomes.
Assist with monitoring project documentation and budget information.
Escalate delays, risks or issues to the relevant manager.
Assist with coordinating SMME site visits and other project activities.

Reporting and General Support

Assist with compiling regular reports for management.
Capture and maintain project and SMME data for reporting purposes.
Prepare basic presentations, spreadsheets and information packs.
Support the team with administrative tasks and ad hoc projects as required.
Maintain confidentiality of SMME, project and organisational information.
Ensure all work is completed accurately and within agreed deadlines.
