Full Job Description

Receptionist (Front Office Administrator)

As the Receptionist (Front Office Administrator), you will be the first point of contact for visitors, clients, and callers, representing Wenzile Phaphama Security with professionalism and courtesy. You will be responsible for ensuring the smooth operation of the reception area while providing administrative support to the Head Office.

Key Responsibilities

Welcome and assist visitors, clients, and guests in a professional and friendly manner.
Answer, screen, and direct incoming telephone calls promptly.
Receive and relay messages accurately and efficiently.
Manage incoming and outgoing mail, courier deliveries, and correspondence.
Maintain a clean, organised, and professional reception area.
Schedule appointments, meetings, and boardroom bookings.
Maintain visitor registers and issue visitor access passes where applicable.
Provide administrative support, including filing, scanning, photocopying, printing, and data capturing.
Maintain office records and filing systems.
Monitor office supplies and arrange replenishment when required.
Assist with travel and accommodation arrangements when requested.
Respond to email and general enquiries or direct them to the appropriate department.
Support staff with routine administrative tasks.
Maintain confidentiality of company information and visitor records.
Report maintenance or security issues affecting the reception area.
Comply with company policies, procedures, and health and safety requirements.
Perform any other reasonable duties assigned by management.

Minimum Qualifications and Experience

Essential Requirements:

Grade 12 (Matric) or an equivalent qualification.
1–2 years' experience in a receptionist, front desk, customer service, or administrative role.
Proficiency in Microsoft Office (Word, Excel, Outlook).
Excellent verbal and written communication skills.
Strong telephone etiquette and customer service skills.
Excellent organisational, administrative, and time-management skills.
Ability to multitask, prioritise work, and perform effectively under pressure.
High level of professionalism, integrity, confidentiality, and attention to detail.

Advantageous:

Certificate in Office Administration, Business Administration, Reception, or a related field.
Previous experience in the security industry or a corporate office environment.
