Full Job Description

Location: Pretoria North
Reporting to: Director / General Manager
Employment Type: Fixed term

Job Purpose

The Office Administrator / Bookkeeper will be responsible for managing daily administrative operations and maintaining accurate financial records for the business. The role ensures efficient office coordination, proper record keeping, and effective financial administration to support smooth business operations.

Key ResponsibilitiesOffice Administration

Manage daily office operations and ensure smooth running of administrative functions.
Handle incoming calls, emails, and correspondence professionally.
Maintain filing systems for company records, contracts, and documentation.
Order and manage office supplies and equipment.
Schedule meetings, appointments, and maintain company calendars.
Prepare reports, presentations, and internal documents when required.
Maintain employee records and assist with HR administrative tasks.
Liaise with suppliers, service providers, and external stakeholders.

Bookkeeping & Financial Administration

Record daily financial transactions in the accounting system.
Process invoices, receipts, and payments accurately.
Manage accounts payable and accounts receivable.
Reconcile bank statements and financial records.
Assist with preparation of monthly financial reports.
Maintain accurate bookkeeping records and financial documentation.
Assist with payroll preparation and ensure supporting documents are accurate.
Support the accountant with financial data and documentation when required.
Monitor company expenses and assist with budget tracking.

Minimum Requirements

Diploma or Certificate in Office Administration, Bookkeeping, Accounting, or related field.
Minimum 2–3 years experience in office administration and bookkeeping.
Experience using accounting software (e.g., Sage, Pastel, QuickBooks, or similar).
Proficiency in Microsoft Office (Excel, Word, Outlook).
Strong organisational and time management skills.
High level of accuracy and attention to detail.

Ability to work independently and meet deadlines.

Added Advantage

Experience working in a small to medium-sized business environment.
Experience with payroll administration.
