Purpose:
To provide administrative support to the Accreditations Department by assisting with learner record management, document processing, data capturing, compliance administration, and audit preparation activities. The SETA Administrator will support the accurate and timely submission of learner information and accreditation-related documentation while developing knowledge of SETA, QCTO, and quality management requirements.
Responsibilities:
- Assist with learner registrations, achievements, completions, and certification administration.
- Capture and maintain accurate learner and training records.
- Support the preparation and submission of documentation for audits, verifications, and accreditation-related activities.
- Provide general administrative support to ensure compliance with internal processes and regulatory requirements.
- Communicate professionally with internal stakeholders, learners, clients, and external bodies.
- Maintain accurate filing systems and ensure documentation is stored correctly.
- Assist the Accreditations team with daily administrative and reporting requirements.
Duties and Responsibilities
Learner Administration
- Capture learner information accurately on internal systems and databases.
- Assist with the processing of learner registrations, achievements, and completions.
- Verify learner information and ensure supporting documentation is complete.
- Maintain learner files and records in accordance with company procedures.
- Assist with the distribution of learner statements of results, certificates, and related documentation.
- Ensure learner information is kept accurate and up to date.
Documentation and Compliance Support
- Assist in compiling and preparing documentation required for audits, verifications, and accreditation activities.
- Maintain learner Portfolios of Evidence (POEs) and supporting records.
- Track submitted documentation and monitor outstanding items.
- Ensure all records are filed, archived, and stored in line with company standards.
- Assist with identifying, recording, and resolving administrative discrepancies.
Reporting and Record Keeping
- Maintain tracking spreadsheets, registers, and databases.
- Update learner progress and submission records as required.
- Assist in compiling routine reports for management and stakeholders.
- Monitor documentation status and provide updates to the Accreditations Manager.
Communication and Stakeholder Support
- Respond to administrative queries from learners, clients, and internal stakeholders.
- Follow up on outstanding documentation and information requests.
- Provide administrative support to branches and departments regarding accreditation-related processes.
- Communicate professionally and courteously with all stakeholders.
General Administration
- Perform general clerical and administrative duties as required.
- Maintain confidentiality of learner, client, and company information.
- Adhere to company policies, procedures, and quality management requirements.
- Maintain professional conduct and represent the organisation positively.
- Participate in training and development opportunities to build knowledge of accreditation and compliance processes.
