Full Job Description

Job Summary

We are seeking a highly organized and detail-oriented Training Administrator to support and coordinate training activities within the organization. The successful candidate will be responsible for managing training records, ensuring compliance with SETA, QCTO, ISO, and HSEC requirements, coordinating learner programmes, and maintaining training documentation and reporting systems.

Key Responsibilities

Coordinate and administer training programmes, workshops, and skills development initiatives.
Maintain accurate learner records, attendance registers, portfolios of evidence, and training databases.
Liaise with SETAs, QCTO, clients, facilitators, assessors, and moderators.
Prepare and submit training reports, Workplace Skills Plans (WSPs), Annual Training Reports (ATRs), and grant applications.
Ensure compliance with QCTO, SETA, ISO 9001, ISO 45001, ISO 14001, and HSEC Management Systems.
Assist with training audits, accreditation requirements, and quality assurance processes.
Coordinate learner registrations, assessments, moderation, and certification processes.
Monitor training schedules and communicate training requirements to relevant stakeholders.
Manage training materials, venues, equipment, and logistical arrangements.
Support the implementation and continuous improvement of Quality Management Systems (QMS).
Ensure all training documentation is filed, controlled, and maintained according to company procedures.
Assist with compiling statistics and reports for management and clients.

Minimum Requirements

Grade 12 (Matric).
Qualification in Training Administration, Human Resources, Business Administration, Occupational Health & Safety, or a related field.
Minimum 2–3 years' experience in a Training Administration role.
Proven experience working with SETA, QCTO, and Skills Development legislation.
Working knowledge of ISO Management Systems (ISO 9001, ISO 45001, ISO 14001).
Knowledge of HSEC (Health, Safety, Environment, and Quality) Management Systems.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent administrative, organizational, and communication skills.
Strong attention to detail and ability to meet deadlines.

Understanding of training and development legislation.
Ability to work independently and within a team.
Strong record-keeping and document control skills.
Problem-solving and time-management abilities.
