Full Job Description

About the Role

We are looking for a highly organised and detail-oriented Admin Assistant to manage all Proof of Delivery (POD) processes within our transport operations. The successful candidate will play a key role in ensuring accurate documentation flow between transport, customers, and finance.

Key Responsibilities

Scan and process all Proof of Delivery (POD) documents daily

Send PODs to customers via email in a timely and professional manner

Arrange courier dispatch of physical PODs where required

Follow up with transport teams and drivers to obtain outstanding PODs

Maintain accurate POD tracking records and filing systems

Report outstanding and missing PODs to the Logistics Administrator and Finance Manager regularly

Support the finance department with POD-related queries and reconciliations

Perform general administrative and ad hoc duties as required

Requirements

Strong attention to detail and accuracy

Good communication skills (email and telephone)

Ability to follow up persistently and professionally

Computer literate (Microsoft Outlook, Excel, and document management systems)

Ability to work under pressure and meet daily deadlines

Organised, reliable, and proactive

Key Attributes

Accountability and ownership of tasks

Strong follow-up discipline

Professional communication with clients and internal teams

Ability to multitask in a fast-paced transport environment
