Executive Assistant to the Managing Director ( Oil & Gas Sector Experience Mandatory ) ( Mandatory LinkedIn Profile )

Job Summary
The Executive Assistant (EA) to the Managing Director provides high-level administrative and strategic support, ensuring the efficient operation of the Managing Director's office. The role requires exceptional organizational skills, discretion, professionalism, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

Manage the Managing Director's calendar, appointments, meetings, and travel arrangements.
Screen phone calls, emails, and correspondence, prioritizing urgent matters.
Prepare reports, presentations, meeting agendas, minutes, and business documents.
Coordinate meetings with internal departments, clients, suppliers, and stakeholders.
Handle confidential information with the highest level of integrity and discretion.
Monitor deadlines and follow up on action items to ensure timely completion.
Organize domestic and international travel, including visas, accommodation, and itineraries.
Act as the primary point of contact between the Managing Director and internal/external stakeholders.
Assist in preparing budgets, expense reports, and administrative records.
Support project coordination and ensure smooth execution of strategic initiatives.
Organize company events, executive meetings, and board meetings when required.
Maintain an efficient filing and document management system.

Qualifications

Bachelor's degree in Business Administration, Management, or a related field (preferred).
Mandatory 3–7 years of experience as an Executive Assistant or Personal Assistant supporting senior executives in Petroleum, Oil & Gas Segment.
Excellent written and verbal communication skills.
Strong organizational and time management abilities.
High level of professionalism and confidentiality.
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms.
Experience with ERP or CRM systems is an advantage.
