Document Controller Vacancy

Job summary

We are looking for a qualified Document Controller for managing the full lifecycle of internal and external documents. This role ensures that all technical and administrative records are accurately numbered, reviewed, distributed, and archived in compliance with organizational standards and regulatory requirements.

Key Responsibilities

Establish and maintain a systematic document numbering and filing system in accordance with company protocols.
Revision & Version Control: Manage the tracking and distribution of the latest revisions to ensure all stakeholders (Head Office, Site Offices, and Clients) are working with current information.
Transmittal Management: Process incoming and outgoing documents (Transmittals), maintaining detailed logs and monitoring response deadlines for critical project communications.
Quality Assurance: Perform quality checks on all documentation for correct formatting, signatures, and compliance before final issuance.
Digital & Physical Archiving: Oversee the Electronic Document Management System (EDMS) and maintain organized physical archives for easy retrieval during audits or site visits.
Ensure proper document classification, sorting, filing, and retrieval.
Review documents for completeness, accuracy, and compliance with standards.
Maintain document control registers and tracking logs.
Distribute documents to relevant stakeholders in a timely manner.
Ensure that only the latest approved versions are available for use.
Archive outdated or superseded documents securely.
Support audits by providing required documentation and records.
Maintain confidentiality and security of sensitive information.
Others: Assigned jobs by the General manager.

Qualifications & Skills

Diploma or degree in Business Administration, Information Management, or related field.
Proven experience as a Document Controller or in a similar role.
Proficiency in MS Office (Word, Excel, SharePoint, etc.).
Excellent organizational and time-management skills.
Strong attention to detail and accuracy.
Good communication and coordination abilities.
