Remote Customer Service Representative (PC Department)

About the Role

We are seeking a talented and high-energy Remote Customer Service Representative to join our Project Coordination (PC) Department. This is an exciting opportunity to grow professionally while playing an essential role in the company's success.

In this role, you will work closely with management, report writers, field technicians, clients, and homeowners to ensure smooth coordination of projects and exceptional customer experiences. We are looking for someone who thrives in fast-paced, high-volume environments and can confidently manage customer interactions while maintaining professionalism and control of conversations.

What You'll Do

Answer incoming phone calls promptly and professionally
Make outbound calls to clients, internal teams, and departments
Efficiently manage a high volume of calls and email correspondence
Coordinate and schedule field events, including appointments with technicians, clients, and homeowners
Deliver exceptional customer service while maintaining strong client relationships
Utilize professional de-escalation techniques to resolve complex client issues
Accurately enter project notes, client communications, and data into internal systems
Prepare and obtain necessary work authorizations and documentation
Organize files and perform additional administrative tasks as needed
Coordinate meetings, track action items, and follow up with stakeholders
Monitor project timelines and assist in removing roadblocks for clients and internal teams
Quickly learn and adapt to new software platforms and CRM systems

Requirements

Minimum 2 years of experience in a high-volume call center, project coordination, administrative support, or related role
Proven ability to manage multiple projects and priorities simultaneously
Strong experience handling inbound and outbound customer communication
Exceptional verbal and written communication skills
Strong de-escalation and customer management abilities
Familiarity with project management methodologies such as Agile, Scrum, Waterfall, or similar
Experience using project management and CRM software tools such as Asana, Trello, Jira, Monday.com, Microsoft Project, or similar platforms
Strong organizational, multitasking, and stakeholder management skills
Comfortable navigating multiple systems and learning new technology quickly
Skilled in Excel, Google Sheets, reporting tools, and accurate data entry
Ability to work both collaboratively and independently in a remote environment
English proficiency at B2 level or above

Resilient and capable of thriving in a fast-paced, high-pressure environment
Dedicated remote workspace with reliable high-speed internet, quality headset, and desktop/laptop setup
