Key Responsibilities Financial Administration
- Process supplier invoices, credit notes, and purchase orders.
- Prepare and process payments to suppliers and service providers.
- Reconcile supplier statements and resolve discrepancies.
- Maintain accurate filing of financial documents and records.
- Assist with month-end and year-end financial processes.
Cashbook & Reconciliations
- Perform daily bank reconciliations.
- Maintain petty cash records and reconciliations.
- Monitor cash flow transactions and report irregularities.
- Ensure all financial transactions are correctly allocated.
Accounts Payable & Receivable
- Follow up on outstanding customer payments.
- Assist with debtors and creditors management.
- Reconcile customer accounts.
- Ensure timely invoicing and payment processing.
Reporting & Support
- Prepare weekly and monthly financial reports.
- Assist with budgeting and expense tracking.
- Support stock and cost analysis where required.
- Assist auditors and accountants with requested information.
Compliance & Controls
- Ensure compliance with company financial policies and procedures.
- Assist in maintaining internal controls and financial accuracy.
- Support VAT and statutory documentation preparation.
- Maintain confidentiality of financial information.
Operational Support
- Liaise with operations, stores, suppliers, and management regarding finance queries.
- Support payroll administration where applicable.
- Assist with ad hoc finance and administrative duties.
Minimum RequirementsQualifications
- Diploma or Certificate in Finance, Accounting, Bookkeeping, or related field.
- Relevant finance or accounting qualification advantageous.
Experience
- 2–4 years’ experience in a finance or accounting support role.
- FMCG, retail, manufacturing, or distribution experience advantageous.
- Experience working with accounting software and ERP systems.
Technical Skills
- Proficient in Microsoft Excel and Microsoft Office.
- Knowledge of accounting principles and reconciliations.
- Experience with Sage, Pastel, Xero, QuickBooks, or similar systems advantageous.
- Strong numerical and analytical ability.
