The Lecturer Liaison Administrator is responsible for providing administrative support and coordination between the College and its contract lecturers. The position serves as a central point of communication, ensuring the effective administration of lecturer-related processes, academic scheduling, attendance monitoring, student academic administration, and quality assurance activities.
The role works closely with the Director of Studies, Registrar, lecturers, students, and parents to ensure the smooth operation of academic programmes and related administrative functions.
KEY RESPONSIBILITIES
Lecturer Administration
- Serve as the primary administrative liaison between the College and contract lecturers.
- Coordinate communication regarding timetables, meetings, academic requirements, and institutional procedures.
- Assist with the onboarding and induction of new lecturers.
- Maintain accurate lecturer records and documentation.
- Administer lecturer contracts and related documentation.
- Coordinate the appointment of substitute lecturers when required.
- Monitor lecturer compliance with administrative requirements and institutional procedures.
Attendance and Leave Management
- Monitor and maintain lecturer attendance records.
- Record and administer lecturer leave requests.
- Communicate approved leave arrangements to relevant departments.
- Assist in coordinating teaching cover during lecturer absences.
- Prepare attendance and leave reports as required.
Timetable and Academic Coordination
- Assist with the preparation, maintenance, and communication of lecturer timetables.
- Communicate timetable amendments and schedule changes.
- Coordinate lecturer availability and classroom allocations where required.
- Assist with the planning and implementation of academic activities.
Student Academic Administration
- Assist students with routine academic administrative enquiries.
- Liaise with lecturers regarding student academic matters.
- Support the Registrar with academic administration processes.
- Maintain accurate academic records and documentation.
- Assist with the collection and processing of academic information.
Assessment and Reporting Administration
- Collect marks, reports, and academic records from lecturers.
- Monitor submission deadlines and follow up on outstanding documentation.
- Verify the completeness and accuracy of submitted academic records.
- Maintain secure and organised academic filing systems.
Quality Assurance Support
- Assist with academic quality assurance processes.
- Conduct classroom observations as directed by management.
- Compile observation records and reports.
- Assist with the collection and administration of student feedback.
- Support initiatives aimed at maintaining and improving academic standards.
Student and Parent Liaison
- Respond to routine parent and student enquiries relating to academic administration.
- Facilitate communication between students, parents, lecturers, and management.
- Assist with administrative aspects of student disciplinary processes when required.
- Escalate concerns to the appropriate member of management.
Payroll and Reporting Support
- Maintain lecturer attendance and workload information for payroll purposes.
- Provide accurate lecturer information to authorised payroll personnel.
- Prepare reports relating to lecturer attendance, leave, timetables, and academic administration.
GENERAL RESPONSIBILITIES
- Maintain confidentiality of all College, staff, student, and parent information.
- Comply with all College policies, procedures, and regulations.
- Attend meetings, training sessions, and College events as required.
- Assist with additional administrative duties as assigned by management.
- Occasionally attend after-hours meetings or events when operationally required.
MINIMUM REQUIREMENTS
Qualifications
- Matric (Grade 12) or equivalent qualification.
Experience
- Minimum of three (3) years' administrative experience.
- Experience in an educational environment will be advantageous but is not essential.
