Full Job Description

Job Overview

We are seeking a highly organized and detail-oriented Document Controller to join our project team. The successful candidate will be responsible for establishing, implementing, and maintaining the project document control system in accordance with contractual and Employer requirements. This role is critical to ensuring accurate document management, revision control, compliance, and effective communication across all project stakeholders.

Key Responsibilities

Establish, implement, and maintain the project document control system in accordance with contractual and Employer requirements.
Manage receipt, registration, distribution, tracking, and filing of all incoming and outgoing correspondence and technical documentation.
Ensure proper document numbering, revision control, and transmittal procedures.
Maintain up-to-date registers for drawings, specifications, method statements, RFIs, NCRs, test records, and commercial submissions.
Support timely submission of documents to the Employer and follow up on approvals and responses.
Interface with engineering, construction, quality, and commercial teams to ensure document alignment with site progress.
Maintain electronic and hard copy archives ensuring traceability and audit readiness.
Prepare document status reports and dashboards for project management review.
Control access to controlled documents and ensure only current revisions are used on Site.
Support handover documentation and close-out requirements.

Minimum Requirements

Diploma or qualification in Document Management, Administration, or related field.
Minimum 3–5 years of document control experience on construction or EPC projects.
Experience working on projects with Eskom or similar large clients will be advantageous.
Familiarity with NEC contract communication and submission procedures.
Proficiency in Electronic Document Management Systems (EDMS).
Strong knowledge of document numbering, revision management, and audit requirements.
Good organizational skills with high attention to detail.
Ability to manage large volumes of documentation under schedule pressure.
Strong communication skills and ability to coordinate with multiple stakeholders.
Fluent in English (written and spoken).
