Full Job Description

Document Controller
An exciting opportunity has become available for an experienced Document Controller to join a dynamic engineering and project environment based in Centurion, Pretoria. The successful candidate will be responsible for managing and controlling engineering and project documentation across multiple mining and EPCM projects, ensuring all documentation is accurately maintained, distributed, and compliant with project and client requirements. This role is ideal for a highly organised professional who thrives in a fast-paced, project-driven environment and has a solid background within the mining sector.

Minimum Requirements:

Relevant qualification or certification in Document Control, Business Administration, Office Administration, Information Management, or a related field will be advantageous.
Minimum of 5 years' experience as a Document Controller within the mining industry (Essential).
Experience working on mining, EPCM, engineering consulting or construction projects.
Proven experience managing engineering and project documentation throughout the full project lifecycle.
Proficient in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
Experience using Electronic Document Management Systems (EDMS) such as Aconex, SharePoint, Autodesk Construction Cloud, OpenText, Procore or similar platforms.
Strong understanding of document control procedures, quality management systems and revision control.

Roles and Responsibilities:

Manage, control, and maintain all project documentation in accordance with company and client document control procedures.
Register, issue, receive, distribute, and archive engineering drawings, specifications, reports, technical documents, and correspondence.
Ensure all documentation is correctly numbered, filed, and maintained in accordance with document control standards.
Maintain accurate document registers and revision histories, ensuring only the latest approved documents are distributed.
Coordinate the review, approval, and transmittal process for engineering documentation.
Monitor document workflows and follow up on overdue reviews and approvals.
Liaise with engineers, project managers, contractors, clients, consultants, and suppliers regarding document submissions and revisions.
Ensure all project documentation complies with client requirements, contractual obligations, company procedures, and quality management systems.
Upload, maintain, and manage documentation within the Electronic Document Management System (EDMS).
Prepare document transmittals and ensure accurate distribution to internal and external stakeholders.
Compile project document status reports and provide regular updates to project management teams.
Support project teams during audits by ensuring documentation is complete, current, and readily available.
Prepare and compile final project handover documentation and close-out files.
Maintain confidentiality and security of all project information and documentation.
Identify document control process improvements and implement best practices where appropriate.
Provide administrative support to project teams as required.
