About the Role
We are seeking a highly organised, detail-oriented, and proactive Site Admin Clerk to provide administrative, procurement, inventory, and operational support. The successful candidate will play a critical role in ensuring efficient stock control, procurement processes, ERP system compliance, and site administration while supporting site management with accurate reporting and record keeping.
Minimum Requirements
- Grade 12 / Matric (essential)
- Diploma or Certificate in Supply Chain Management, Procurement, Logistics, or Inventory Management (essential)
- Experience working with Syspro ERP or a similar ERP/MRP system
- South African Citizen
- Fluent in English (written and verbal)
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint)
- Strong attention to detail and accuracy
- Good organisational and administrative skills
- Able to work independently and under pressure
- Medically fit to work on a mining site
- Clear criminal record
Key Responsibilities
The successful candidate will be responsible for:
Inventory and Procurement Administration
- Ensure adherence to MRP and inventory management processes.
- Monitor stock levels and notify the Cost Accountant of required Min/Max stock level changes.
- Load purchase orders and SCT orders onto the ERP system.
- Expedite supplier orders to ensure timely delivery of critical spares and materials.
- Follow up on customer purchase orders as required.
- Load COD payment requests when required.
ERP and Stock Control
- Process stock receipts, issues, and service exchange transactions in Syspro.
- Print picking slips for repairs and ensure the return for accurate system capture.
- Verify deliveries against delivery notes to ensure accuracy
- Ensure all receipts are processed correctly
- Participate in and coordinate monthly stock takes.
Site Administration and Reporting
- Supervise and coordinate the activities of the Storeman
- Maintain accurate records
- Compile monthly timesheets from clocking history records and submit to the Site Leader for approval.
- Prepare and provide reports to the Site Leader and Area Manager as required.
- Submit signed Proof of Delivery (POD) documents and invoices to Head Office.
- Process damage claim reports and invoicing documentation.
