MSP Administrative Coordinator / Operations Support Role
We are looking for a highly organised, detail-driven administrative professional to support a busy Managed Service Provider environment.
This role is ideal for someone who is strong with coordination, communication, planning, follow-ups, documentation, and keeping people and processes on track. You do not need to be a technician, but you must be comfortable working around technical teams, IT systems, clients, tickets, projects, and MSP terminology.
Depending on the client environment, this role may support areas such as helpdesk coordination, service desk administration, project coordination, dispatch, reporting, client communication, scheduling, documentation, and general operational support.
About the Role
MSPs are fast-moving environments where clients, technicians, tickets, projects, emails, phone calls, systems, and deadlines all need to be carefully managed.
You will work closely with technical teams, clients, vendors, and management to help ensure that work is properly logged, scheduled, followed up, documented, and completed.
This is a role for someone who enjoys structure, communication, and organisation — and who can stay calm and professional while keeping multiple moving parts under control.
Typical Responsibilities
Depending on the specific role, responsibilities may include:
- Answering calls, responding to emails, and assisting clients professionally
- Logging, updating, assigning, and following up on service tickets
- Coordinating technicians, schedules, client visits, and remote support sessions
- Assisting with project coordination, task tracking, deadlines, and client updates
- Preparing meeting notes, action items, client updates, and internal summaries
- Maintaining documentation in tools such as SharePoint, OneNote, IT Glue, Hudu, or similar platforms
- Working with planning and ticketing systems such as Autotask, ConnectWise, HaloPSA, Freshdesk, NinjaOne, or similar platforms
- Assisting with quotes, purchase requests, renewals, licensing, reporting, and general administration
- Following up with clients, suppliers, technicians, and internal teams to keep work moving
- Helping ensure tickets, projects, and tasks are accurate, updated, and closed properly
- Supporting management with reports, spreadsheets, client information, and operational admin
Skills and Experience
The ideal candidate should have:
- Strong administrative skills and attention to detail
- Excellent spoken and written communication
- Confidence working with clients over phone, email, and Teams/Zoom
- Good planning, scheduling, and follow-up ability
- Experience using Microsoft Word, Excel, Outlook, Teams, OneNote, and SharePoint
- The ability to manage multiple tasks without losing track of details
- A professional, calm, and helpful approach
- Experience in an MSP, IT company, helpdesk, service desk, or technical environment
- Familiarity with IT terminology and MSP operations
Technical Awareness
You do not need to be a technical engineer, but you should be comfortable around IT language and concepts such as:
- Microsoft 365 and Azure
- Servers, backups, users, permissions, and networks
- VoIP, phones, firewalls, switches, Wi-Fi, PoE, and VPNs
- Cybersecurity, EDR, MFA, patching, and monitoring
- Tickets, SLAs, escalations, projects, onboarding, and offboarding
A candidate who understands this language will be able to communicate better with technicians and clients, follow up more effectively, and add far more value in an MSP environment.

This is not a purely “back-office admin” role. It requires someone who can think, communicate, follow up, document, coordinate, and help keep a technical services business running smoothly.
Please note - We will need to do extensive background check on successful candidates as we work with high-profile clients.
Pay: R25 000,00 - R35 000,00 per month
