Job Title: Stock and Receiving Controller

Job Purpose
The Stock and Receiving Controller is responsible for the accurate and efficient management of all stock-related processes within the store, including the receiving, checking, recording, and control of merchandise. The role ensures full compliance with ARC's stock management policies and procedures, safeguarding stock integrity and minimizing loss through effective controls, accurate record-keeping, and adherence to standard operating procedures.
Key Responsibilities
1. Receiving of Stock
- Receive incoming stock deliveries and verify quantities against delivery notes, purchase orders, and invoices.
- Inspect stock for damages, discrepancies, or shortages and report these immediately in line with company procedure.
- Ensure all received stock is accurately captured on the relevant stock management system.
- Sign off on delivery documentation only once accuracy has been confirmed.
2. Stock Control & Management
- Maintain accurate, up-to-date stock records at all times.
- Conduct regular stock counts, cycle counts, and assist with full stocktakes in accordance with ARC's Stock-Take Standard Operating Procedures.
- Investigate and report any stock variances, discrepancies, or irregularities to the Store Manager without delay.
- Ensure stock is stored, labeled, and organized correctly within the stockroom to support efficient stock rotation and accessibility.
3. Loss Prevention & Compliance
- Adhere strictly to all company policies and procedures relating to stock receiving, handling, and control.
- Identify and escalate any suspected theft, fraud, or misconduct relating to stock immediately to the Store Manager.
- Support the store's loss prevention initiatives and assist with internal and external audits as required.
- Ensure compliance with health, safety, and housekeeping standards within the stockroom and receiving areas.
4. Administration & Reporting
- Maintain accurate documentation and filing of all receiving and stock-related records.
- Compile and submit stock reports (e.g., variance reports, shrinkage reports, damaged stock reports) as required.
- Liaise with suppliers, couriers, and internal departments regarding stock queries, returns, and discrepancies.
5. Stock Replenishment & Support
- Coordinate with the sales floor team to ensure timely replenishment of stock.
- Assist with stock transfers between stores or to/from the warehouse, ensuring accurate documentation.
- Support the Store Manager with stock planning and ordering where required.
Minimum Requirements
Education:
- Grade 12 / Matric certificate (essential)
- A relevant tertiary qualification in Retail, Logistics, or Supply Chain Management (advantageous)
Experience:
- Minimum 1–2 years' experience in a stock control, receiving, or warehouse role within a retail environment
- Experience working with stock management/POS systems
