Life Choices is looking for a proactive, organised and service-driven Administrator to support the day-to-day operations of our organisation. This role is central to ensuring our facilities, transport, procurement, inventory, health and safety, and administrative systems operate efficiently, enabling our programme teams to deliver meaningful impact. The role of administrator involves a great deal of multitasking, support, greeting and directing visitors when required, answering and responding to calls, requests and emails, and filing.
Operations is the main support programme for the organisation, providing a wide range of services to staff, beneficiaries and external stakeholders.
Responsibilities:
- Facilities/Building Management: Help oversee the daily operation of our premises, including building opening/closing, office readiness and ensuring a safe, organised environment.
- Transport Scheduling: Plan and coordinate staff transport, optimise schedules and routes, and communicate updates and changes.
- Vehicle Maintenance: Coordinate vehicle licensing, servicing, roadworthy inspections and maintenance to keep vehicles compliant and operational.
- Procurement & Supplier Management: Source quotations, coordinate purchases, maintain supplier relationships and ensure procurement processes are efficient and compliant.
- Inventory & Stock Control: Manage operational stock, equipment and organisational assets, ensuring accurate records and sufficient supplies.
- Events & Meeting Support: Assist with the logistics, setup and coordination of meetings, training sessions and organisational events.
- Health & Safety: Act as a Health and Safety Representative by conducting workplace inspections and promoting a safe working environment, where necessary.
- IT Support: Troubleshooting, offering support and resolving technical issues to keep systems running smoothly with minimal downtime. Offer administrative support to any IT functions required.
- Administrative Support: Maintain organised filing systems, provide reception relief when required, and support the Operations team with a range of administrative tasks.

Requirements and Experience:
- Matric is essential.
- A degree/certificate in business administration or business management is advantageous.
- Proficient in information technology and digital systems
- Previous experience working for an NGO or in a similar role is highly advantageous.
- Experience working in an organisation with varied facilities and maintenance requirements.
- Knowledge and experience in Health and Safety is advantageous.
