OBJECTIVE OF THE ROLE
To provide document control and administration services to the PMO, technical document support to Studies and Projects, and ensure adherence to guidelines and standards.
ROLE ACCOUNTABILITIES
Designing and set up a project team's libraries for project-related data storage using relevant metadata
Provide document control support and assistance to project teams across the Company.
Liaise with project stakeholders and service providers to align delivery of effective and efficient project document management and collaboration support.
Provide an information service from the information base, identifying documents required, compiling and performing search strategies, and supplying the right information at the right time.
Facilitate access to project and engineering information for the project participants and stakeholders.
Contribute to the continuous improvement of the Document management system within the Company.
Assist in designing and maintaining the Company's document control plan for projects.
Monitor workflows and all document control processes, undertake document audits, and ensure any non-conformance is identified and addressed
Controls and manages documentation within the PMO Library by developing and maintaining filing structures, organizing and classifying records, applying document control and version management practices, and ensuring documents are stored, updated, and retrieved in accordance with established standards and retention requirements.
Provide general administration services to the PMO such as formatting of documentation in line with PMO templates, style conventions, and document control standards, controlling of documents and tools in development, drafting of presentations, minutes of meetings, and maintenance of registers and trackers.
Engaging with internal stakeholders to align on project and capital management processes.
Influence the key stakeholders at the Business Units and mine sites to source information on time for reporting.
Ensure handover of information (e.g. to Operations) and archiving of project documentation as appropriate at project stage close-out.
Engaging with various stakeholders in the project fraternity to align on document management standards.
Demonstrate the ability to work efficiently and collaboratively in a team and knowledge-sharing environment.
Build and sustain positive relationships.
ROLE REQUIREMENTS
Education & Qualification
Tertiary education in a relevant field – advantageous
Relevant training in document management systems and processes.
Experience
Minimum 5 years’ experience in working in a project management office or major project team within the mining industry as a document controller.
Knowledge & Skills
Proficient in Microsoft Office suite of programs.
Advanced application in Microsoft OneDrive, SharePoint, Teams, and Viva Engage.
Advanced application in setting up SharePoint pages and directories.
Advanced application in Aconex.
Proficient in Microsoft Office suite of programs. (Essential)
