Full Job Description

Job Title: Payroll Administrator

Department: Human Resources / Finance
Reports To: HR Manager / Finance Manager
Location: Prospecton, Durban

Job Purpose

To ensure the accurate, timely and compliant processing of payroll, maintaining payroll records, statutory compliance, and confidentiality at all times.

Key Responsibilities

1. Payroll Processing

Process monthly and/or weekly payroll for all employees.
Capture and verify new appointments, terminations, promotions, transfers and salary changes.
Ensure accurate calculation of:
Basic salary/wages
Overtime
Allowances
Deductions (statutory and voluntary)
Leave pay
Bonuses and incentives
Reconcile payroll prior to final submission.
Generate payslips and distribute accordingly.

2. Statutory Compliance

Ensure compliance with:
PAYE, UIF and SDL (SARS requirements)
UIF submissions
COIDA reporting
Bargaining council requirements (e.g. Motor Industry Bargaining Council (MIBCO), if applicable)
Prepare and submit EMP201, EMP501 reconciliations.
Ensure accurate IRP5/IT3(a) submissions.
Stay updated on payroll legislation and tax changes.

3. Payroll Reconciliation & Reporting

Reconcile payroll to general ledger.
Prepare payroll journals for Finance.
Monthly payroll variance analysis.
Provide management reports (headcount, overtime trends, cost to company analysis).
Assist with internal and external audits.

4. Leave & Time Management

Administer leave records.
Reconcile leave balances monthly.
Verify timesheets and clocking data before payroll processing.

5. Employee Queries

Address payroll-related queries professionally and confidentially.
Provide explanations regarding payslips, tax, deductions, and benefits.
Process salary confirmations and employment confirmations when required.

6. Record Keeping & Confidentiality

Maintain accurate payroll files.
Ensure POPIA compliance.
Maintain strict confidentiality of salary and employee information.

Minimum Requirements

MUST HAVE EXPERIENCE WORKING ON SAGE 300 PEOPLE AND UNICLOX

Qualifications

Diploma or Certificate in Payroll Administration, HR, Finance or Accounting.
Payroll certification (e.g., Sage Payroll, VIP Payroll) advantageous.

Experience

3–5 years payroll experience.
Experience in a manufacturing or unionised environment advantageous.
Experience dealing with bargaining councils (e.g., MIBCO) advantageous.

Knowledge

Strong knowledge of:
South African labour legislation
Tax legislation
BCEA
Payroll systems
Proficiency in MS Excel (intermediate to advanced).
