An opportunity exists for a Admin Cler: QC to join our Garment Development team. As the Admin Cler:QC your primary responsibility will be to provide administrative and clerical support to the Quality Control department by maintaining accurate records, managing quality-related information flow, coordinating documentation, and ensuring correct routing of garments and materials between departments.
Education
- Grade 12 / Matric (essential)
- Administrative or business-related qualification (advantageous)
Experience
- 1–2 years administrative experience (preferably in manufacturing or garment industry)
- Exposure to quality control processes is an advantage
Skills & Competencies
- Strong attention to detail and accuracy
- Good organizational and filing skills
- Understanding of garment production flow (CMT, branding, stock control)
- Proficient in Microsoft Office (especially Excel)
- Strong communication and coordination skills
- Ability to manage multiple information flows simultaneously
- Ability to work under pressure and meet deadlines
Key Performance Indicators (KPIs)
- Accuracy of QC records and reports
- Timeliness and correctness of information flow to CMT Controllers
- Correct routing of garments (reworks, branding, stock, rejects)
- Completeness and audit readiness of documentation
- Reduction in delays caused by admin or routing errors
Working Conditions
- Based in a garment manufacturing environment
- May require extended hours during peak production periods
Administrative Support
- Capture, update, and maintain QC data and inspection records accurately
- Prepare daily, weekly, and monthly QC reports
- File and organize all QC documentation (physical and electronic)
- Maintain records of defects, rejections, and corrective actions
Data Management & Reporting
- Input inspection results into systems or spreadsheets
- Track defect trends and support QC analysis
- Assist in compiling quality statistics and dashboards
- Ensure all data is accurate, complete, and submitted on time
Documentation Control
- Maintain quality checklists, audit forms, and inspection reports
- Ensure all QC forms are properly completed by inspectors
- Control and update standard operating procedures (SOPs) and QC templates
- Archive documents according to company policy
Information Flow & Production Coordination
- Ensure accurate and timely information flow to CMT Controllers to support the assembly of Bills of Materials (BOMs)
- Communicate quality findings and requirements clearly between QC, CMT, and production teams
- Distribute QC reports and updates to relevant stakeholders
- Follow up on missing, incomplete, or delayed documentation
Product & Material Routing Control
The Admin Clerk is responsible for ensuring that inspected items are correctly routed based on QC outcomes:
- Reworks:
- Route rework items to the CMT (Cut, Make, Trim) department
- Communicate rework details to both the Quality Controller and the CMT Coordinator
- Unbranded Stock:
- Ensure unbranded garments are sent to the Branding Department
- Branded Stock:
- Direct approved branded garments to Finished Goods Stock
- Rejects (Non-Conforming Items):
- Ensure all rejected items are sent to the Non-Conforming (NC) Area
- Maintain proper records and traceability for rejected goods
Compliance & Traceability
- Ensure documentation meets internal quality standards
- Maintain full traceability of garments, batches, and QC decisions
- Assist with internal and external audit preparation
- Support adherence to quality policies and procedures
General Duties
- Assist with stock/sample tracking when required
- Perform general clerical duties (printing, scanning, emailing)
- Support the QC team during peak production periods
