Job Summary
Support the efficient operation of Affinity Auto’s leased fleet by coordinating maintenance schedules, monitoring vehicle condition, managing licensing and tracking systems, and ensuring compliance with safety and service standards.
Key Performance Areas
- Monitor vehicle condition, usage, and compliance with safety standards.
- Maintain accurate records of fleet servicing, repairs, and costs.
- Assist with and support fleet maintenance scheduling and service coordination
- Monitor tracking systems and vehicle usage
- Assist in the collection and delivery of vehicles
Key Tasks
- Coordinate Fleet Maintenance Schedules and Service Bookings
- Assist in scheduling routine servicing and inspections for all leased vehicles
- Liaise with service providers and workshops to confirm bookings
- Monitor upcoming maintenance requirements and escalate to relevant stakeholders
- Verify that bookings and services are completed as scheduled
- Ensure vehicles are presented for scheduled services and follow up on missed or overdue maintenance
- Monitor Vehicle Condition, Usage, and Compliance with Safety Standards
- Inspect vehicles regularly to identify wear, damage, or safety concerns
- Report issues promptly and recommend corrective actions
- Ensure vehicles meet roadworthiness and regulatory compliance standards
- Monitor tracking systems to ensure accurate vehicle movement and usage data
- Investigate and report irregularities such as unauthorized usage, excessive idling, or route deviations
- Maintain Accurate Records of Fleet Servicing, Repairs, and Costs
- Record all maintenance activities in fleet management systems
- Update logs with repair costs, parts used, and service intervals
- Generate tracker reports
- Maintain utilization records and general reporting
- Compile reports for management on fleet performance and expenditure
- Track maintenance costs per vehicle and flag high-cost or repeat repairs
- Fleet Support and Operations
- Assist in the collection and delivery of vehicles when required
- Monitor vehicle downtime and report on fleet availability
- Track turnaround times for servicing and repairs and escalate delays
- Licensing and Compliance Management
- Track vehicle license renewals, roadworthy certificates, and compliance documentation
- Ensure all vehicles remain legally compliant and escalate upcoming expiries
- Process and Ad Hoc Responsibilities
- Create and document processes and procedures relating to fleet operations
- Identify inefficiencies and recommend process improvements
- Perform ad hoc duties and additional responsibilities as required by management
Qualifications
- Matric
- Valid driver’s license
- Certificate/Diploma in Fleet Management or Automotive Studies
- Technical training in vehicle mechanics or maintenance
Experience
- Minimum of 2 years in fleet operations or automotive services
- Experience in leasing or rental fleet environments
Knowledge and skills
- Knowledge of vehicle maintenance schedules and service requirements
- Familiarity with fleet management systems and reporting tools
- Strong organizational and coordination skills
- Basic understanding of cost control in fleet operations
