Full Job Description

Minimum Qualifications & Experience

· Diploma or Degree in Accounting, Finance or related field.

· 3–5 years’ debtors/credit control experience.

· Experience with accounting systems (e.g. Nebula, Xero/Pastel).

· Advanced Microsoft Excel.

Key Responsibilities

· Manage corporate, travel agent, OTA, conference and event debtor accounts.

· Issue invoices, statements and credit notes accurately.

· Allocate receipts and reconcile customer accounts.

· Collect outstanding debts.

· Resolve billing disputes with internal and external stakeholders

· Monitor credit limits and recommend account suspension where necessary.

· Prepare debtor age analysis, collection forecasts and management reports.

· Escalate long outstanding debts for legal recovery or write-off approval.

· Ensure compliance with company policies and internal controls.

· Perform additional finance duties assigned by management.

RESPONSIBILITIES

To contact debtors telephonically and by way of e-mail correspondence in order to recover outstanding payments. Ensure details of correspondence is accurately recorded and maintained.
To ensure account and contact details are correct.
To contact account related key contact individuals to facilitate payment.
To contact customers telephonically, with authorization, before suspending their accounts to remind them of the need for payment. Check payment terms / clauses before suspension.
To follow up to ensure payment arrangements are honoured.
To handle account queries and respond to all e-mail and telephonic queries received and see the matters through to completion.
To use past correspondence to track the history of queries to establish the correct person/s to speak to and to establish past action taken so as not to frustrate the clients.
To check invoices to see that clients have been invoiced correctly.
To submit invoices that are applicable to the correct debtors.
To schedule monthly payments.
To follow up on long outstanding debtors by discussing them with management for a decision on whether to follow legal steps or to consider issues such as bad debt.
To update management on the standing of outstanding monies, including feedback on collections.
To reconcile the age analysis.
To perform any other work-related duties and responsibilities that may be assigned from time to time by management.
