Shift Clerk
The Foundry Shift Clerk provides dedicated administrative and operational support directly on the plant floor to Shift Supervisors and Team Leaders. This role bridges the gap between production and administration by managing all paperwork, tracking compliance checklists, maintaining workforce records, and digitizing files. Crucially, this position serves as the primary administrative anchor for the shift’s Health and Safety (H&S) compliance, accident logging, and incident reporting. The ideal candidate must have prior foundry or heavy manufacturing experience to understand the terminology, safety risks, and fast-paced nature of a metal casting environment.
Shift Structure & Work Patterns
- Schedule: Aligned directly with the production shift teams on duty (typically matching the continuous 12-hour rotational shift pattern: 4 days on, 2 days off, 4 nights on, 2 days off). Works shift times 06H00 to 18H30.
- Location: Based on the foundry floor / shift office to remain instantly accessible to supervisors and operators.
Core Responsibilities
1. Health, Safety & Incident Administration
- Accident & Incident Logging: Act as the first point of administrative contact when an incident, near-miss, or accident occurs on shift; immediately issue and compile preliminary internal incident report forms.
- Flash Reports: Rapidly draft and distribute initial incident "Flash Reports" via email and WhatsApp to the HSE (Health, Safety, and Environment) Manager and Plant Management.
- COID Act Documentation: Ensure all Compensation for Occupational Injuries and Diseases (COID) documentation and witness statements are accurately filled out, signed, and processed without delay.
- Safety Minutes: Attend shift safety committee meetings and incident investigation sessions as the dedicated scribe to document root-cause analyses and corrective actions.
2. Compliance, SOPs & Toolbox Talks
- Toolbox Talks: Coordinate and distribute weekly or daily toolbox talk topics to each team; track, collect, and verify attendance sheets to ensure 100% sign-off compliance from all staff.
- Equipment Checklists: Issue, track, and collect daily pre-start safety checklists (e.g., jib cranes, forklifts, furnaces) from operators before shifts begin, immediately flagging skipped checks to the supervisor.
- SOP Sign-offs: Maintain the floor registry for Standard Operating Procedures (SOPs), ensuring all team members sign off on new or updated safe work procedures.
- Audit Readiness: Maintain a highly organized physical and digital filing system on the floor for instant retrieval during Department of Employment and Labour (DEL) or internal safety audits.
3. Data Capture & Digitization
- Data Transfer: Transcribe handwritten shift logs, heat reports, scrap tallies, and equipment checklists into digital formats using Microsoft Word and Excel.
- Digital Archiving: Scan and back up all physical production, safety, and training records into secure electronic folders for long-term storage and compliance tracking.
4. Workforce & Leave Administration
- Leave Management: Issue, collect, and process shift leave forms, ensuring they are correctly authorized by supervisors before forwarding to HR.
- Roster Maintenance: Update daily shift attendance registers, track absenteeism, and maintain the rolling leave roster to ensure optimal floor coverage.
Technical Skills (Hard Skills)
- H&S Administration: Sound understanding of basic OHS Act (Act 85 of 1993) requirements, hazardous chemical substance registers, and standard incident reporting procedures.
- Computer Literacy: Proficient in Microsoft Excel (data entry, basic formulas, sorting) and Microsoft Word.
- Document Control: Knowledge of administrative filing protocols, scanning, and digital archiving structures.
Soft Skills
- Assertive Communication: Ability to confidently engage with floor workers, pull signatures, and ensure operators complete their safety paperwork on time.
- High Attention to Detail: Spotting blank spaces on safety checklists, missing witness signatures, or incomplete accident details before files are processed.
- Composure Under Pressure: Remaining calm, systematic, and focused when handling the administrative rush during an emergency or workplace accident.
- Adaptability: Staying organized within a loud, dusty, and high-heat foundry environment.
Experience & Requirements
- Factory / Foundry Experience Required: Minimum of 2 to 3 years of administrative or clerical experience (preferred) within a factory, foundry, steel mill, or heavy engineering plant. Candidates must understand basic foundry flow (furnaces, molding, pouring, fettling) and safety terminology
- H&S Exposure: Prior experience working closely with a safety department or acting as a health and safety representative/clerk is highly advantageous.
- Education: Minimum Grade 12 (Matric) with a strong administrative focus. A basic certificate in SAMTRAC, SHE Representative training, or Nosa introduction is a major plus.
- Language Proficiency: Fluent in verbal and written English, with the ability to communicate fluently in at least one local language (e.g., isiZulu, Sesotho, or Afrikaans) to bridge communication gaps on the floor.
Pay: R11 000,00 - R14 000,00 per month
