Legal Administrative Assistant
Are you detail-oriented and organized with a passion for the legal field? Our dynamic legal practice is seeking a motivated and dedicated Legal Administrative Assistant to join our team. In this role, you will provide crucial administrative support to our solicitors, barristers, and paralegals, ensuring smooth and efficient operations across various legal matters.
Key Responsibilities:

Administrative Support: Assist in the day-to-day running of the legal practice by providing administrative assistance to solicitors, barristers, and paralegals. Support litigation and transactional matters and collaborate with team members to ensure seamless operations.
- Matter Management: Handle administrative duties including processing new client instructions, preparing engagement letters, and setting up new matters in the firm's systems.
- Billing and Invoicing: Record fee-earners’ time, prepare client invoices, assist with credit control tasks, and prepare payment remittances.
- Client Interaction: Answer incoming calls, connect clients to the appropriate team members, respond to inquiries, and provide information as needed.
- Calendar Management: Maintain and update the firm's calendar, arrange appointments, and coordinate calls.
- Document Management: Process incoming post, file documents on the firm’s document management systems, and manage outgoing mail correspondence via third-party providers.
- Research: Conduct basic legal research and assist with case studies, advice, and opinions under the supervision of qualified team members.
- Confidentiality: Maintain strict confidentiality of all client and firm information.
Qualifications:

Previous administrative experience in a legal environment.
- Strong organizational skills with attention to detail.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office and experience with legal document management systems is a plus.
- Ability to handle confidential information with discretion.
Benefits:
Working Hours: 09:00 to 18:00 SAST, Monday – Friday
Salary: R20,000-R25,000 per month (depending on experience)
Leave: 15 days holidays (plus public holidays).
Contract: Permanent
Note: This is a remote role that requires you to be based in Cape Town due to the occasional office visit in Stellenbosch. You will also be required to have reliable internet access during working hours and periods of extended load shedding.
